The Accounts Officer is responsible for managing the Foundation's day-to-day financial operations, ensuring accurate financial record-keeping, timely reporting, budget monitoring, and compliance with applicable financial regulations and donor requirements. The role supports the efficient utilization of resources across the Foundation's programmes and provides financial information to facilitate sound decision-making and accountability.
Key Responsibilities
*Maintain accurate and up-to-date financial records in accordance with accepted accounting principles and the Foundation's financial policies.
*Process payments, receipts, invoices, and other financial transactions in a timely manner.
*Prepare payment vouchers and ensure all supporting documentation is complete and properly filed.
*Manage petty cash and conduct regular cash reconciliations.
*Prepare monthly bank reconciliations and monitor cash flow.
*Assist in the preparation of annual budgets and project budgets.
*Monitor expenditure against approved budgets and report any variances.
*Prepare monthly, quarterly, and annual financial reports for management, donors, and the Board.
*Ensure compliance with donor financial guidelines and statutory tax obligations.
*Support the preparation of financial reports for grants and donor-funded projects.
*Maintain fixed asset and inventory registers.
*Coordinate payroll preparation and statutory deductions where applicable.
*Liaise with banks, auditors, regulatory authorities, and other financial institutions.
*Support internal and external audits by preparing required financial records and documentation.
*Maintain proper filing and secure storage of financial documents.
*Advise management on financial risks and recommend appropriate controls.
*Assist in the development and implementation of financial policies and procedures.
*Ensure compliance with procurement and expenditure approval processes.
*Perform any other finance and accounting duties assigned by the Executive Director.
