Position Description
Job Title: Accounting Administrator, Accounts Receivable
Reports To: Accounts Receivable Manager
FLSA Status: Non-Exempt
Location: Shared Services Office, Irving, TX (Hybrid)
Summary:
The Accounting Administrator provides administrative and operational support to centralized accounting functions by managing shared communication channels, processing mail and documentation, routing inquiries, and supporting workflow coordination. This role is responsible for ensuring timely intake, organization, and tracking of customer- and vendor-related correspondence while maintaining documentation standards, internal controls, and audit readiness. The Accounting Administrator performs administrative support activities only and does not perform invoice posting, billing, collections, or credit decision-making.
Essential Duties and Responsibilities:
Administrative & Communication Support:
- Monitor and manage shared accounting email inboxes.
- Review, tag, categorize, and route incoming emails to the appropriate accounting team or queue.
- Acknowledge receipt of inquiries when required and ensure timely handoff to the assigned owner.
- Answer incoming accounting-related phone calls; provide basic information and route calls appropriately.
- Maintain inquiry logs, call logs, or tracking records as required.
Mail Processing & Document Management:
- Receive, open, and process incoming and returned mail related to invoices, statements, checks, and general accounting correspondence.
- Prepare and mail customer invoices, statements, and vendor payments as directed.
- Identify address issues, undeliverable mail, or documentation gaps and route findings to the appropriate owner.
- Scan, index, and attach documents to customer or vendor records within Microsoft Dynamics 365.
- Maintain organized electronic and physical files to support audit readiness.
Workflow Coordination & Task Support:
- Accumulate invoices received through centralized inboxes and route them for review.
- Verify invoices and expenses include required approvals prior to routing.
- Create, assign, and track work items related to inquiries and documentation requests.
- Follow up on open administrative items to ensure timely resolution.
Data Accuracy & Controls Support:
- Identify and flag potential customer or vendor master data issues.
- Ensure documentation accuracy and retention in accordance with SOX and internal controls.
- Adhere to established accounting policies and procedures.

Education/Experience:
- High school diploma or GED required; associate degree preferred
- 1–3 years of administrative or accounting support experience preferred
- Proficiency with Microsoft Office
- Experience with Microsoft Dynamics 365 preferred
Work Environment:
Corporate shared services office environment with moderate noise level. Hybrid arrangements may be available based on business needs.
Physical Demands:
Must be able to sit, stand, walk, bend, and reach during the workday. May be required to lift up to 25 pounds occasionally.
