Position: Account Coordinator
Studio Team: Indies
Shift: 7AM – 4PM PST
Office Mandate: Tuesday / Wednesdays Weekly; as needed for Client or Internal Meetings
Job Summary
The Account Coordinator (AC) is responsible for coordinating orders and projects requested by Deluxe’s customers. They will be responsible for all aspects of job coordination, including client communication, job entry, cross-functional department communication, project tracking, order delivery, and billing. They will create loyal customers by providing exceptional customer services. The AC will have a desire to build technical proficiency in digital media so they can effectively partner with customers, team members and operations to achieve the customer’s defined mastering and servicing goals.
Key Responsibilities:
Continued Learning & Support
- Proactively ask questions or points of clarification regarding delegated tasks, take notes for future reference.
- Learn industry-specific acronyms & workflows; stay current on industry news.
- Learn how to use various internal systems to create, update, & research DCP & Distribution projects
- Continued learning on how to bulk update, create dependency groups, and implement other project management tools toward projects
- Understand rate cards and services to ensure proper application of rates to orders. Participate in training including, but not limited to: deluxe products & services, the cinema industry, and internal process improvements.
- Use all training and lessons to become a proactive member of Team Indies
Order Management Tasks
- Proactively monitor delegated tasks, titles, or projects
- Follow up on orders and projects after each step to ensure customers are notified in a timely manner of any problems and changes in schedule.
- Initiate the ingest of client or vendor delivered assets into internal systems with minimal oversight.
- Assist in scheduling & providing DCP information for internal & client QCs.
- Fulfil DCP restore & distribution orders for client screenings
- Escalate if any order is in jeopardy of being fulfill on time.
- Build projects accurately, including Billing Contacts & PO.
- Submit completed work to the client
- Submit billing to Deluxe Finance in a timely & accurate manner
- Begin to proactively identify and take responsibility for customer inquiries & Order Management Tasks

- Must be organized, reliable, conscientious, flexible, and skilled at multi-tasking, work effectively under pressure and possess strong organizational and interpersonal skills.
- Be comfortable with a spider-web delegation model, not a hierarchical model
- Maintain a high level of confidentiality of Deluxe and customer/client sensitive information.
- Must be able to juggle multiple priorities and solve problems involving several concrete variables in standardized situations.
- Must be able to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
- Must be proficient with word processing, spreadsheet, inventory, internet, order processing, project management, and database software.

This role is based in Los Angeles, California or Wilmington, Ohio and the base pay for this role is $26.44 per hour. Actual amounts will vary depending on education, skills, experience, and geographic location.
