CHPS Graduate Affairs Office:

The College of Health Professions and Sciences is home to nine graduate programs and nearly 1500 graduate students studying a range of health and wellness disciplines. The college offers accredited clinical graduate programs leading to professional licenser as well as graduate programs focused on research and developing leadership skills for careers in health-related fields.

The Graduate Affairs Office provides comprehensive academic support to graduate students and graduate programs within the college.  Operating within the college's Dean's Office, it is under the guidance of the Associate Dean for Academic Affairs and includes the Academic Advising Manager and the Director of Graduate Affairs.  Together they collaborate with the College of Graduate Studies and other key units on campus to ensure effective administrative process necessary for successful graduate program operations.

The Opportunity:

The Manager of Academic Advising assists the Director of Graduate Affairs and Associate Dean of Academic Affairs in managing advising and academic support for graduate programs in the College of Health Professions and Sciences. The manager assists graduate students with registration and enrollment requirements, guidance about university processes and policies, and graduation requirements and processes.  In addition, the position supports graduate programs by interpreting academic policies and recommending exceptions, providing guidance about academic progress reviews and degree requirements, and serving as a backup to program advisors when needed.  The Academic Advising Manager also participates in recruiting events, new student orientations, and other college activities as needed.

Responsibilities:

Program and Student Support:

  • Interpret academic policies and provide recommendations for exceptions.

  • Provide back-up advising support for graduate programs including admissions and graduate assistantship agreements when needed.

Graduation Processing:

  • Manage college-level graduation pre-certification and final degree certification, including course substitutions, and verification of program requirements.

  • Maintain graduation records and collaborate with the College of Graduate Studies on student graduation eligibility and Commencement.

Graduate Plan of Study (GPS) and GPS Degree Audits:

  • Verify GPS audits function correctly coordinating with the College of Graduate Studies.

  • Identify deficiencies in students' GPS audits and collaborate with program directors to identify appropriate updates to the Plan of Study.

  • Approve GPS eforms forms to update degree audits based on Plans of Study.

Registration:

  • Manage college-wide graduate student registration process and assist with registration troubleshooting and holds.

  • Register students for Thesis and Dissertation and other classes as requested by programs.

  • Verifying T/D Registration Request forms are completed correctly.

Thesis and Dissertation processes:

  • Verify candidacy eligibility and eligibility to enroll in Thesis or Dissertation.

  • Track final semester Thesis/Dissertation forms and status.

Curriculum: 

  • Assist with curriculum revisions and review course actions and program recommendations using Kuali.

  • Ensure new courses are set up correctly and assist with course scheduling as needed.

  • Create and maintain graduate course prerequisites to allow appropriate registration.

Graduate Office Operations: 

  • Recommend business processes to effectively manage graduate advising in CHPS.

  • Assist with recruiting events, enrollment planning, and advising potential applicants.

  • Prepare various reports and spreadsheets using Gradinfo, SLATE, Docusign, Viewstar, Peoplesoft and Microsoft Office programs; other duties as assigned.

CHPS Graduate Council Support:

  • Coordinate and attend graduate committee meetings (scheduling meetings, preparing agendas, materials and minutes) and follow up on items discussed/approved to ensure completion.

Minimum Qualifications:

Bachelor's degree and 5+ years of relevant experience, or a Master's degree and 3+ years, or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219(6). 

Preferred Qualifications:

  • Master's degree or other post-baccalaureate education.

  • At least two years’ experience providing support to graduate programs or graduate students.

  • Experience using systems such as PeopleSoft, SLATE, and Kuali, or similar record management tools.

  • Ability to work independently with limited direct supervision.

  • Excellent customer service skills and commitment to support to students, staff and faculty.

  • Demonstrated critical thinking skills to interpret policies and understand business processes. 

  • Ability to effectively communicate and strong interpersonal skills to build collaborative productive relationships with students, faculty and staff both within CHPS and across campus.

  • Exceptional attention to detail, organizational abilities, and capacity to manage multiple priorities.

  • The anticipated salary range for this position is $48,722 - $63,000. The final salary will be determined based on the candidate's qualifications, experience, and internal equity considerations.
