Provides comprehensive administrative and operational support to the Hospital Services Department, including executive scheduling, meeting coordination, correspondence, document preparation, records management, travel arrangements, purchasing, reception coverage, and office supply inventory. The role supports the Director, departmental staff, hospital partners, and stakeholders while maintaining confidentiality, accuracy, professionalism, and effective communication in a fast-paced environment.

Supports marketing plans, campaigns, events, brand management, communications, email marketing, social media, website content, digital mailings, and promotional materials. Coordinates with internal teams, vendors, designers, agencies, and leadership. Creates marketing assets and presentations, manages website updates and landing pages, monitors brand compliance, supports online integrations, and provides Google Analytics reporting. Requires strong writing, organization, social media, data analysis, and marketing execution skills.

Provides comprehensive executive administrative and contract administration support to the COO. Responsibilities include calendar and meeting coordination, communications, travel logistics, records management, document preparation, action-item follow-up, contract lifecycle tracking, approvals, execution routing, repository maintenance, and confidential personal administrative support. The role requires strong organization, discretion, judgment, attention to detail, and full-time onsite availability.

Supports community engagement and culturally responsive outreach programs promoting organ, eye, and tissue donation. Builds relationships with community leaders, advocacy groups, and influencers; delivers presentations and educational programs; represents LiveOnNY at events; coordinates outreach logistics; tracks activities and outcomes; and provides field feedback. May assist with family engagement and donation conversations in collaboration with hospital partners. Requires travel throughout the service area and occasional work outside standard business hours.
