Processes vendor invoices, matches invoices to purchase orders, verifies pricing and payment terms, maintains accounts payable records, applies payments, resolves discrepancies, reviews vendor statements, corrects reconciliation errors, and supports general office administration. The role also includes data entry, invoice scanning and submission, phone coverage, purchasing support, and coordination with corporate accounts payable.

Coordinates certified payroll reporting, fleet administration, bond tracking, security licensing, and regulatory compliance across multiple locations and jurisdictions. Maintains accurate records, monitors deadlines, prepares submissions, coordinates with internal teams, vendors, bonding agents, and regulatory agencies, and supports renewals and compliance reporting. Requires strong organization, attention to detail, communication skills, confidentiality, and proficiency with Microsoft Office.

Supports the sales team by tracking deficiencies, coordinating quotes, maintaining CRM records, preparing sales reports, and addressing customer inquiries. Organizes conferences, trade shows, and seminars, including logistics, promotional materials, opportunity tracking, and giveaway inventory. The role also develops knowledge of PMA sales and customer relationship management while collaborating with sales, marketing, and management teams.

Leads end-to-end technical and operational execution of the MXOne program, coordinating engineering, manufacturing, suppliers, customers, and field teams. Oversees systems integration, production, quality testing, commissioning, logistics, documentation, training, warranty support, and issue resolution. Drives on-time delivery, customer acceptance, reduced field rework, technical standardization, and continuous improvement across complex domestic and international deployments.

Provides administrative and operational support by managing correspondence, scheduling service calls and inspections, assisting with invoicing, accounts payable and receivable, payroll and timekeeping, coordinating meetings and events, and supporting various departments. Requires strong organization, communication, multitasking, confidentiality, basic accounting knowledge, and proficiency with Microsoft Office. Familiarity with Great Plains, ServiceTrade, fire protection, or construction is beneficial.
