Provides operational and project management support for medical aesthetics clinics. Supports Zenoti, AesthetixCRM, and other clinic systems while coordinating marketing, technology, clinical, and facilities-related initiatives.

Leads provider coaching, training, development, and new-provider ramping across a medical aesthetics platform. Uses provider KPIs to create personalized development plans, coordinates scalable education, builds peer-learning communities, supports recruiting, and maintains hands-on injectable practice 1–2 days weekly. Requires regular travel to clinics, with travel expected approximately 50% of the time.

Manages back-office operations for a medical spa, including inventory and vendor ordering, operational reporting, KPI tracking, staff scheduling, payroll review, HR administration, compliance documentation, office supplies, facilities coordination, and administrative projects. The role supports the Practice Manager and requires discretion, strong organization, independent execution, and proficiency with spreadsheets and scheduling or POS systems.

Manage inbound and outbound calls, follow up with leads and inquiries, convert prospects into booked appointments, coordinate scheduling across multiple med spa locations, document client interactions, track sales activity and conversion metrics, and support promotions, re-engagement campaigns, and appointment reminders. Collaborate with clinic and front desk teams to ensure smooth client handoffs.

Greet and assist medspa clients, manage check-ins, payments, appointments, inquiries, records, phone and email communications, and patient flow. Maintain an organized, welcoming facility and complete opening and closing duties. The role requires strong customer service, multitasking, administrative, and communication skills, with Mandarin fluency required. High performers may advance to a Sales Consultant position.

Leads operational and financial performance for one to two medical aesthetics clinics, tracking KPIs, improving revenue and efficiency, coaching staff, managing clinic systems, supporting vendors, and maintaining licensing and clinical compliance. The role is hands-on and designed to develop into a Director of Operations overseeing approximately seven to eight clinics.

Serve as the client-facing cornerstone: manage scheduling, confirmations, multi-line phone inquiries, POS transactions, client records, retail sales, reception presentation, staff coordination, inventory, onboarding, and client education on skincare and injectables.
