POSITION SUMMARY

Under the direction of the Sales Operations Manager, perform a variety of administrative and customer service tasks which requires broad knowledge of clerical practices, and principles and processes for providing customer service.

ESSENTIAL FUNCTIONS

  • In SAP, daily transfer shipped packing slips to invoices while checking for accuracy and adding Premium Freight costs incurred for any shipments.
  • Following customer specific requirements, daily send/upload ASN information.
  • Provide each customer shipment information as required.
  • Establish, maintain, and monitor accurate and efficient electronic filing systems. Scan invoices and shipping documents into electronic files.
  • Email international shipping documents to customers and scan into electronic folders.
  • Provide customers with shipping documents upon request (e.g., bills of lading, packing lists, invoices).
  • Perform daily updates to the Premium Freight Report .
  • Update daily Antaya Premium Freight Report located in TEAMS.
  • Submit daily all premium freight to the Aptiv PTA system.
  • Convert EDI delivery schedule receipts to Excel format as required.
  • Routinely take inventory and order office supplies, materials, and services for internal personnel as required.
  • Handle confidential information with complete security.
  • Adhere to EMS and IATF 16949 Policies and Procedures.
  • Perform all other related duties as assigned by the manager.

KNOWLEDGE, SKILLS AND ABILITIES

  • Knowledge of administrative, and clerical practices and procedures.
  • Ability to handle confidential and sensitive information.
  • Ability to proficiently operate office technology and equipment (e.g., computer systems, calculator, telephone system, scanner, postage meter, fax, copier, etc.).
  • Ability to proficiently use various company-related systems and databases.
  • Ability to proficiently use computer programs such as Microsoft Office applications.
  • Ability to work effectively with internal/external personnel, customers, vendors, suppliers, outside agencies, and the general public.
  • Ability to communicate effectively verbally and in writing.
  • Ability to multi-task and prioritize work to meet deadlines.
  • Ability to handle situations and telephone inquiries which require courtesy, tact, and professionalism.

QUALIFICATIONS

  • High School Diploma or GED equivalent; or graduation from a technical/trade school.
  • Minimum least two (2) years of office, clerical, and customer service experience desired
  • SAP experience preferred
  • Ability to read, write, and speak English proficiently.
  • Computer proficiency and demonstrated skills in office applications such as MS Word, Excel, and Outlook.

The employee must be able to perform physical activities such as, but not limited to, lifting and/or moving light objects up to ten (10) pounds, and occasionally lift items slightly over ten (10) pounds. Specific vision abilities include close vision.
