About this Opportunity:


As a member of the Construction Operations team, the Purchasing Coordinator will play a key role in validating and maintaining the integrity of our system’s data. Reporting into the Director of Purchasing, the Purchasing Coordinator will work in collaboration with the Purchasing team to research and gather information needed to establish accurate house budgets and optimized purchasing data. This effort will involve refining current processes and procedures and the implementation of new methodology to support the company’s growth plans.


*The Purchasing Coordinator is an in office role. *The Purchasing Coordinator must maintain a valid driver’s license and clean driving record.

Key Responsibilities:

  • Review purchasing contracts to ensure system data matches awarded bidsManage vendor contracts and ensure contractor onboarding process runs smoothly.
  • Participate in the development of specifications for equipment, products, or substitute materials.
  • Participate in the architectural VE process through the change order process.
  • Organize project information for optimal workflow.
  • Assist in the preparation and organization of budget estimates for customer projects identified through Mosaic’s Growth team.
  • Assist in the creation of builder specifications and documentation for scopes of work for requested builder clients.
  • Promote internal communication between purchasing and the broader operations team.
  • Communicate product changes to customer, operations, and subcontractors as well as coordinate pricing adjustments as needed.
  • Research trades and follow-up on the effectiveness, response times, services, performance, and workload in order to hire and retain the best subcontractors.
  • Prepare all contract documents including the preparation of plans and documentation for bid process; verify accuracy and completeness of all documents.
  • Generate comparison spreadsheets from complete and accurate bids that reflect each trades respective scopes-of-work.
  • Assist with re-bid/re-negotiate contracts with vendors once pricing has expired or an increase is requested.
  • Research and provide analysis and thorough back-up information as to why increase is necessary and must be applied.
  • Responsible for all project Schedule A and Work Order documentation.

Preferred Qualifications:

  • Bachelor’s or technical education preferred.
  • 5+ years of total work experience with 2+ years of experience working in a purchasing role ideally with residential construction builders.
  • Familiarity with blueprints and construction documents.
  • Demonstrated experience bidding out all vertical trades and awarding contracts for multiple production build communities.
  • Experience with project management and ERP softwaresExperience working with Google Workspace.
