Talent Acquisition Operations Coordinator

The Talent Acquisition Operations Coordinator is passionate about supporting the recruiting top-tier talent through the end-to-end talent acquisition process. This role must be responsible and reliable, and willing to consistently contribute to making our company a great place to work. The individual must be highly efficient, organized, approachable and have a sense of urgency. This position is critical to the growth and culture of Kajabi and it will report directly to the Senior Talent Acquisition Manager/People Operations Manager (Philippines).

This position is required to work between Eastern Standard Time and Pacific Standard Time business hours.

The Impact you will make

  • Represent Kajabi through regular communication with potential candidates to keep them engaged and informed throughout the interview process, ensuring an exceptional candidate experience
  • Manage interview schedules, and administer relevant assessments or tests to evaluate job-specific skills to candidates across all teams at Kajabi
  • Partner with the Talent Acquisition team to evaluate and move candidates through the recruiting process
  • Manage ATS system and become a super-user with reporting capabilities
  • Maintain composure and confidentiality in all external and internal interactions
  • Make suggestions to  job descriptions, posting advertisements, and posting locations to ensure diversity in close collaboration with hiring managers
  • Be able to provide feedback to hiring managers and key stakeholders to continuously improve the recruiting process and candidate experience
  • Manage TA programs, such as a Referral Program and internal transfers
  • Run background checks on new hires
  • Filing personal documents and offer letters into Personnel folders
  • Provide seamless hand-off from Talent Acquisition to on-boarding process and oversee the process for new employees
  • Partner with the TA team to define and develop metrics and talent acquisition goals, such as funnel reports
  • Support talent branding, marketing and all communications as needed

  • Ability to work in a fast paced environment with tight deadlines

Bonus if you have

  • Experience using HR databases and Greenhouse as an ATS
  • Solid knowledge of recruiting and candidate experience best practices
