The Engagement - Events Team is responsible for implementing and promoting the company goals, pillars, team member attributes, and culture of UWM. Our clients are our team members, and we work to plan extraordinary and memorable events and experiences for them! On this team, you need to be comfortable with "always being on stage," regardless of if we are working an event, attending collaboration meetings, or walking around campus. We are the team that brings the fun, and we have a long-standing and credible brand to prove it. We operate at a high level and are always planning the next best thing. If you enjoy looking at the big picture scope of an event, but enjoy planning the finer details, this role may be for you! The Engagement Coordinator - Events will collaborate with many different people: external vendors, various in-house teams, team members, etc. and it's pertinent that proper documentation is thorough, credible, and accurate (proposals, budgets, playbooks) to successfully plan events from start to finish.

This position requires on-site attendance at our headquarters in Pontiac, MI.

Must Have Qualifications:

  • Be able to adapt to change quickly, provide solutions to challenges, and see opportunities as positive challenges to improve
  • Strong communication and soft skills, with a time savvy attitude regarding getting to work, attending meetings, and completing tasks on time
  • Ability to think outside of the box and creatively collaborate with the team to make experiences and events better than before
  • Comfortable with asking for help and offering help when needed to be a team player and understanding that "we're all in this together"
  • Ability to remain calm under pressure, maneuver with a smile during high-stress situations that may arise, all while maintaining a customer-service mindset
  • Competency to plan your day and ability to properly shuffle priorities when needed based on urgencies
  • Basic Microsoft Office 365 Knowledge (Word, Excel, PowerPoint, Outlook)
  • 1-year of event-related experience or degree
  • Internal motivation to seek continuous improvement for personal and professional development
  • Experience in event planning or event coordination in a corporate environment
  • Excellent organizational, communication, negotiating, and multitasking skills
  • Onsite attendance is required
  • High School Diploma
  • This position requires on-site attendance at our headquarters in Pontiac, MI.

Nice to Have Qualifications:

  • Basic understanding of the requirements needed to coordinate an event
  • Strong attention to detail regarding documentation consistencies, financial and time constraints
  • Creative or Graphic Design skills
  • Bachelor's degree (or equivalent) in hospitality or event management
  • Experience in managing budgets and tracking expenses
  • Advanced knowledge of Excel (Pivot Table, budgeting, advanced functions, and scrubbing data)

WHAT YOU WILL BE DOING

  • Coordinate and "own" up to 5 small events in the year (Examples: Superbowl Celebration, National Popcorn Day, Ugly Sweater Day, Christmas in July, etc.) from start to finish
  • "Own" one component for each of our 5 large events: Food & Beverage, United Services (Facility Services), Security, Registration & Fulfillment, Will-Call & Check-In, Playbook & Budgeting, Marketing & Communication, Volunteer Management, External Vendors, and others, as needed
  • Collaborate with the other Events team members to be on the same page regarding projects and upcoming events pertaining to the roles you own
  • Research vendors or necessary supply ordering, provide event proposals and budgets, and make selections based on creativity, quality, and cost
  • Book appropriate event spaces, review necessary contracts or invoices, and lock down day-of logistics to communicate to the team
  • Develop content documentation for event assets that are needed and work with the Internal Marketing team to approve for production to advertise on campus
  • Collaborate with on-campus teams to ensure all needs are met and secured by scheduling and hosting meetings, providing agendas, calendar invitations, etc.
  • Collect post-event feedback meetings and properly document to improve future events
  • Work with other members of the Events and Engagement team and assist when needed
  • Other projects as assigned
