As a multi-campus non-denominational church, we are looking for an exceptionally organized, proactive, and relational Administrative Assistant to champion the Worship, Production, and Video departments across all locations. The ideal team member excels in fast-paced environments, demonstrates outstanding attention to detail, anticipates needs ahead of time, communicates with clarity, and elevates operational excellence across every ministry team.
RESPONSIBILITIES:
Team Support
- Support Worship, Production & Video Teams administratively.
- Anticipate needs and track priorities, details, and follow-through.
- Ensure key tasks, discussions, and deadlines are met.
- Prepare agendas and coordinate meeting logistics, and record meeting notes and action
items. - Assist with receipts, contracts, hours tracking, as well as daily logistics, including;
inventory, orders, contracts, and expenses.
Calendar, Scheduling & Coordination
- Manage complex cross-departmental scheduling as well as team calendars and
timelines. - Coordinate Worship, Production, and Video events and rehearsals.
- Oversee campus scheduling via Planning Center Online (PCO).
- Manage department project timelines and tasks.
- Support key events, rehearsals, and services as needed.
Communication & Relationship Management
- Communicate clearly with staff, volunteers, and vendors.
- Liaise between central teams and campus teams while also building strong relationships
across campus ministries. - Track requests, approvals, and follow-ups.
Systems, Processes & Department Operations
- Manage team systems including but not limited to: Planning Center, Basecamp, Google
Shared Drive, Google Calendar - Maintain operational consistency and documentation within Google Workspace.
SCHEDULE:
This is a part-time position offering schedule flexibility. Mondays and Tuesdays are primary operational days requiring approximately 4-6 hours on-site each day. The remaining weekly hours can be scheduled within normal church office hours (Monday through Friday) in coordination with the weekly needs of the team.
