Role Overview: 

We are seeking a hands-on Workplace Services Lead to directly support the daily operations of two San Francisco/South Bay offices, serving a combined workforce of 200 employees. This position is fully on-site, with 100% in-office presence required, and involves regular travel between the two Bay Area locations. In addition, the role provides support across our broader portfolio of 60 offices. 

This is not a people management role, there are no direct reports. Instead, the Workplace Services Lead is expected to personally perform and coordinate the work, ensuring each office runs smoothly, efficiently, and to the highest standard. The work is varied and requires a proactive, problem-solving mindset, strong organizational skills, and the ability to manage multiple tasks simultaneously in a fast-paced environment. 

 

Key Responsibilities: 

  • Hands-On Office Operations: Perform and oversee daily office operations at two San Francisco area offices—stock supplies, set up workstations, coordinate moves, support employee needs, and ensure everything is functioning properly. 

  • Facilities & Workplace Support: Handle a wide range of workplace tasks including catering, event set-up, guest reception, office signage, parking logistics, and supporting employee requests in real time. 

  • Vendor & Contractor Coordination: Act as the on-the-ground liaison with building management, contractors, and service providers. Monitor work, perform walkthroughs, and confirm services (cleaning, security, maintenance, engineering) meet standards. 

  • Budgeting & Purchasing: Track office expenses, prepare purchase orders, and review invoices while making cost-conscious purchasing decisions. 

  • Space Planning & Setup: Execute seating assignments, support office layout changes, and ensure the physical environment supports productivity and employee well-being. 

  • Event & Meeting Support: Organize and directly support in-office events, wellness programs, team gatherings, and training sessions, everything from logistics to physical setup and teardown. 

  • Health, Safety & Compliance: Partner with Corporate Security to ensure the physical office environment is compliant, safe, and secure. 

  • Systems & Tracking: Use the Integrated Work Management/Experience System (IWMS) to log, track, and resolve service requests, maintenance issues, and projects. 

  • Portfolio Project Support: Provide hands-on support for portfolio-wide initiatives such as new office openings, moves, and decommissioning. 

Work Environment & Travel :

  • This role is 100% on-site with no work-from-home option. 

  • Requires frequent travel between downtown San Francisco and South Bay offices. 

  • Additional travel (approx. 25%+) may be required to support the broader 60-office portfolio. 

Basic Qualifications:

  • Bachelor’s degree from an accredited, not-for-profit university. 

  • A track record of commitment to prior employees

  • 4+ years of facilities or workplace operations experience in a multi-office environment. 

  • Proficiency with IWMS systems and Microsoft Office (Excel, PowerPoint, SharePoint). 

Preferred Qualifications:

  • Proven experience in direct, hands-on facilities support—not just oversight. 

  • Background in vendor and contractor coordination. 

  • Strong problem-solving, organizational, and multitasking skills with high attention to detail. 

  • Excellent interpersonal and communication skills; proactive and service-oriented.

This position offers a base salary range of $100,000-$136,000, based on relevant skills and experience and includes a generous benefits plan.
