What You’ll Do
- Lead facilities operations and office support in our Los Angeles office — our largest employee hub
- Own vendor relationships including janitorial, HVAC, security, maintenance, utilities, and landlord contacts across all US locations.
- Coordinate facility needs across all FloQast offices, supporting local contacts in NYC, Chicago, San Jose, London, and Sydney
- Oversee office layout planning, seating assignments, and furniture inventory
- Track and manage office supply levels, deliveries, and restocking needs
- Maintain documentation related to facility maintenance, building access, safety compliance, and inspections
- Identify and escalate building issues, repairs, track follow-ups, and ensure timely resolution
- Support in-office event planning and execution in coordination with internal teams
- Help define and document standards for workplace operations across all locations
- Serve as the main point of contact for facilities-related questions or needs from employees and leadership
- Recommend process improvements and bring a proactive lens to facilities planning
- Coordination with local teams on snack programs
- Partner with IT to maintain and implement security standards and processes as needed
- Develop and own the health and safety standards for all US offices in compliance with local, state, and federal regulations
What You’ll Bring
- 4+ years of experience in facilities, workplace, or office operations roles
- Strong vendor management and negotiation skills
- Experience working directly with landlords, contractors, and service providers
- Excellent communication and project coordination skills
- A high sense of ownership, with the ability to operate independently and prioritize effectively
- Comfortable performing hands-on tasks as needed (e.g. receiving deliveries, moving light furniture, setting up space)
- Familiarity with safety protocols, preventive maintenance tracking, and regulatory compliance
- Ability to travel to help set up and new office expansion (2 to 3 times a year)
- Brings the energy and builds the buzz, transforming the office into a dynamic hub of positive interactions and unparalleled culture.
Nice To Haves/Other
- Experience supporting multi-site office environments or distributed teams
- Familiarity with workplace tools such as Envoy, Google Workspace, Confluence, or project trackers
- Basic understanding of emergency procedures, drills, and inspection processes
- Experience building internal process documentation or playbooks
