About the Job:

You’ll work with modern workplace practices and administrative frameworks, leveraging Google Workspace alongside basic AI-assisted tools like smart scheduling, text summarization, and process automation to elevate our daily operations and internal communications. In this role, you’ll serve as the primary point of contact for employees, clients, and visitors, playing a crucial role in delivering a memorable first impression and ensuring our Chennai office runs smoothly and efficiently.

At Vendasta, our People Operations team fosters a culture of warmth, collaboration, and continuous improvement. In this role, you’ll serve as a visible steward of company culture, providing operational support, encouraging workplace engagement, and enabling team success through clarity, organization, and proactive planning. You’ll be instrumental in coordinating employee travel accommodations, leading our Occupational Health and Safety (OHS) committee, managing office inventory, and driving internal contests and events that boost morale. This is an office-first, 100% in-office role located at our Chennai office (5 days per week).


Your Impact:
As a Workplace experience coordinator you'll

  • Greet and welcome visitors, clients, and employees with a warm, professional demeanor, managing front desk operations flawlessly.
  • Manage incoming calls and direct inquiries, serving as a reliable central point of contact across the organization.
    Champion AI-aligned work—proactively identifying opportunities to leverage AI-assisted templates, scheduling tools, and text summarizers to streamline administrative processes.
  • Own all front desk administrative tasks, coordinating office requests, handling mail and deliveries, and maintaining office supplies.
  • Coordinate travel and accommodation logistics for employees traveling for business operations.
    Lead the local Occupational Health and Safety (OHS) committee and manage all related documentation and compliance paperwork.
  • Help ideate, plan, and execute workplace events, engagement activities, and programs to foster a positive workplace culture.
  • Design and coordinate local contests, team celebrations, and employee gifting initiatives to boost team morale.
    Liaise with building management and vendors to ensure office common areas are clean, safe, well-stocked, and conducive to productivity.
  • Provide administrative support across departments, including credit card reconciliations, slide deck preparation, and basic office equipment troubleshooting.

What You Bring to the Table:

  • 1+ years of experience in administration, customer service, hospitality, or workplace experience roles.
  • Exceptional interpersonal and communication skills with a positive, energetic, and professional approach.
  • Strong organizational, multitasking, and problem-solving abilities with a keen eye for detail in a fast-paced environment.
  • Proficiency with Google Workspace and comfort using basic AI tools (e.g., text suggestions, calendar assistants, process automation) to drive daily efficiency.
  • Demonstrated experience in planning, coordinating, and executing engaging employee events and initiatives.
  • Prior experience managing office inventory, vendor relations, and travel logistics.
  • Ability to provide basic technical support and troubleshooting for standard office equipment.
  • Bachelor’s degree or diploma in Business, Administration, or a related field (preferred).
