Workplace Effectiveness Specialist is responsible for taking care of MGS Warsaw (GSW) office, its facilities and all related activities as well as support MGS Warsaw hub lead in leading the site operations and engagement. This role is expected to work closely with segment partners, contractors and suppliers to ensure a comfortable and seamless working experience for all Associates based in the office. It is also a key point of contact for office guests and visitors.
What will be your key responsibilities?
Office Facilities Management:
- Cooperation with entities and suppliers to ensure continuity of office work. Fulfilling SPOC responsibilities for Integrated Facilities Management Project.
- Supervision of the office equipment, its aesthetics, layout and proper functioning considering the decorations and convenience of work of MGS Associates.
- Cooperation with service providers for the office & representing MGS Office in projects connected with Workplace.
- Ensure quality and availability of key workplace services in GSW office e.g. cleaning service, vending machines, coffee machines, fruits, sweets.
- Managing the pool of mobile phones e.g. buying, issuing, exchanging, unlocking cards etc. as well as entrance and parking cards for GSW site.
- Own and execute the process of Safety training, manage vendor and drive CI for for GSW, GSP and as applicable also WAW office.
- Monitoring expenses and office budget including if needed CAB and setting up all office related Purchase Orders.
Site Engagement and Visitors:
- First point of contact for guests and teams planning team meeting in MGS office in Warsaw, including visa invitations and letters, meeting booking, catering, transport, etc.
- Management and coordination of reservations for "restricted" rooms.
- Support MGS GSW Engagement team in terms of execution of planned activities (e.g. communication, payment, logistical support).
- Organize MGS site events as per annual plan e.g. Christmas Lunch, Annual office party.
- Owning and proactively driving all internal communication in the office: e.g. contact with the agency, internal announcements (posters/TV Screens), internal support for communication activities.
- Coordination of the Office Rescue Group (identification of members, training etc.)
- Works with a network of Associates across segments and MGS functions to drive Associate Experience and Engagement with the objective to make GSW office a Great Place to Work.
- Support MGS/GSW town hall organization (bookings, invitations, organizing IT support).
What are we looking for?
- University degree or equivalent experience.
- Experience in similar position will be an advantage.
- Ability to work efficiently in a fast-paced environment, including project management, multi-tasking, nimble learning, priority setting and planning skills.
- Fluency in MS Office (WORD, Excel, Power Point, Lotus Notes, Internet) and able to work with IT systems (Ariba, Workday etc.).
- Ability to handle and maintain confidential and sensitive information as well as act under pressure.
- Independently and action-oriented style (initiative, enthusiasm, discretion).
- Comfort around higher management.
- Strong oral and written communication skills.
- Fluent in Polish and English is a must.
