WHAT YOU WILL DO

onX is seeking a passionateWorkplace Coordinator to make our Missoula office an exciting, creative, and fun place to work. This is an in-person role based in Missoula, where you’ll be key to creating a dynamic and inviting environment for both local and visiting teammates. Your responsibilities will include managing the operations of the physical office as well as planning and coordinating internal onX events and meetings across all our teams. This position represents a fantastic opportunity to join a dynamic, growing company dedicated to seamless operations and high-impact business practices. You will report directly to the Workplace Operations Specialist, contributing to a dynamic and supportive team.

As an onX Workplace Coordinator, your essential job duties and responsibilities will look like: 

  • Communicate effectively with teammates across the organization, including executives and guests.
  • Help make our Missoula office an inspiring, appealing, productive, and professional place to work.
    • Maintain a thorough understanding of how teams are using the office space and ensuring that they have the amenities, tools, equipment, and supplies needed for productivity. 
    • Deliver a creative vigilance that identifies and acts on opportunities for improvement before most others would even notice anything amiss.
    • Order, stock, and maintain office supplies, kitchen supplies, coffee, snacks, and general building supplies. 
    • In concert with the Workplace Operations Specialist, order, assemble, arrange, and maintain furniture. 
    • Maintain safety and security within the space, including shoveling decks, inspecting fire extinguishers, and addressing any safety concerns. 
    • Ensure that the office is clean, presentable, and functional, helping employees establish hygiene routines while ensuring quality service from outside cleaning companies. 
    • Proactively solve problems as they arise. 
    • Administer workplace policies and routines that make working in onX offices productive, pleasant, exciting, creative, and fun. 
  • Make onX events and meetings engaging, professional, and efficient.
    • Collaborate with internal planning teams to create exceptional events.
    • Coordinate onX employee events and meetings that range from a small group of executives to hundreds of people.
    • Develop relationships within the company that help you deliver on-target, efficient, and inspiring workplace events in and around Missoula.
    • Assist the Workplace Operations Specialist in developing and implementing the vision and branding for internal events.
    • Source vendors, including venues, caterers, and equipment rentals; negotiate terms of service.
    • Manage all logistics for internal events including transportation, event setup and breakdown and programmatic support.
    • Assist planning teams with any operational support as needed.
  • Manage the onX Missoula-assigned vehicle(s), including the following tasks:
    • Schedule regular and preventative maintenance and maintain quality assurance.
    • Administer scheduling and reservations of company vehicle(s).
    • Ensure all vehicles maintain current registration and have required documentation.
    • Maintain accountability for the condition of the vehicle(s). 
    • Ensure all drivers of company vehicles are on the onX insurance policy.
  • Deliver administrative assistance to managers, executives, and departmental functions.
    • Schedule and support certain managerial on-site meetings, off-site events, lunch-and-learn sessions, team gatherings and other events as needed. 
    • Receive visitors and guests in the office. 
    • Deliver logistical support for meetings and gatherings, attending as many as feasible.
    • Provide notarial services for onX employees.
    • Assist with order fulfillment as needed.
  • Working hours may vary in accordance to team or company initiatives & events.
  • Ability to travel domestically up to 4 times a year.

WHAT YOU’LL BRING

  • 2+ years of experience in office management or complex administrative support, demonstrating accountability for workplace conditions and resource management.
  • Proven experience providing administrative support to managers and executives, including scheduling and coordinating meetings and events.
  • Experience planning, organizing and executing internal events and meetings with a focus on logistical support and vendor management.
  • Strong customer service skills with a focus on creating a welcoming and supportive environment.
  • Strong interpersonal skills and the ability to work collaboratively with diverse teams, effectively communicate with executives and guests, and proactively solve problems.
  • Demonstrated ability to manage multiple projects simultaneously while maintaining a high level of organization and exhibiting sound judgment in decision making.

  • Permanent US work authorization is a condition of employment with onX. 

ADDED BONUSES

Though not required, we would be thrilled to consider candidates with any of the following:

  • Bachelor’s or Associate’s degree is a plus
  • Experience in Facilities management is a bonus
  • Possession of or ability to obtain a Notary Public Certification in the state of Montana
  • Outdoor industry experience

HOW YOU’LL BE COMPENSATED

onX is committed to compensating all employees fairly and equitably for their contributions. For this position, applicants can expect to make between $26 to $28 an hour upon hire. The pay range will vary based on experience, skills, certifications, and education among other factors as required in the job description. In addition, full-time onX employees are eligible for a grant of common share options with a vesting schedule and a potential annual bonus of 10% based on company performance.

PERFORMANCE ESSENTIALS

In this role, success is driven by both cognitive and physical abilities. Cognitive abilities such as concentration and problem-solving are essential for our computer-centric tasks. Equally important are the physical demands of the role, which include but are not limited to:

  • Lifting and carrying items up to 50 pounds.
  • Bending, kneeling, and reaching.
  • Standing or walking for extended periods.
  • Performing outdoor tasks such as shoveling snow when vendors are unavailable.
