Position Summary:
This position plays a key role in workforce management by coordinating effectively with team members to ensure tasks are completed in a timely, efficient, organized, and safe manner, while maintaining a strong focus on quality care. It also requires effective management of staffing and other available resources to support operational goals
Roles and Responsibilities:
• Schedule Management
• Support workforce management scheduling functions, ensuring the right staff are assigned to the appropriate groups and clients each day.
• Fill shift gaps in real-time by reallocating resources or contacting available team members, focusing on maximizing coverage for various product lines of managed services including but not limited to: Virtual Nursing, Transitional Care Services, Rounding, Virtual Sitter Companions, etc.
• Process time off requests and track attendance.
• Process timecard approvals in accordance with Operational policies.
• Collaborate with Human Resources on any attendance concerns, leave of absences, accommodations for Religious/ADA/Medical/etc.
• Real Time Monitoring and Adjustment
• Centrally monitor and track the status of care activities pending and virtual nurse task completion in real-time.
• Identify potential service lags or backlogs and alert the Management over house service line responsibilities and resource pool team when nearing SLA limits to prompt task redistribution or staffing adjustments.
• Identify demand troughs, including planned/unplanned EMR downtime, and redirect staff to education/training or ad hoc QA activities
• Performance Optimization
• Collaborate with leadership to maintain service levels and identify areas for improvement in scheduling efficiency and staff productivity to ensure optimal performance.
• Provide data-driven insights and reporting on scheduling efficiency, workforce utilization, and service level performance.
• Communication and Collaboration
• Communicate with team leaders, supervisors, and resource pool nurses to ensure alignment on staffing adjustments and service needs.
• Provide daily communication to operations leadership and supervisors related to capacity and staffing gaps, as well as levers being pulled and expected outcomes.
• Maintain clear lines of communication with all virtual care teams to support smooth operations and real-time problem-solving.
• Answer questions related to staffing levels and coverage.
Qualifications:
  • College graduate of any 4-year course
  • Minimum of 1 year experience in Workforce Management or any related role (experience in healthcare scheduling preferred)
  • Experience with scheduling software (experience with Humanity preferred)
  • Experience with productivity monitoring systems
  • Strong analytical skills with the ability to monitor real – time data and make proactive staffing decisions
  • Proficient with MS Office Applications
  • Excellent communication and interpersonal skills
  • Willing to work on site (One Ayala, Makati city)
  • Willing to work on shifting schedule (24/7 operation)
  • Earn up to 45,000 depending on the experience

Skills Required

  • College graduate of any 4-year course
  • Minimum of 1 year experience in Workforce Management or any related role
  • Experience with scheduling software (Humanity preferred)
  • Experience with productivity monitoring systems
  • Strong analytical skills for real-time data monitoring
  • Proficient with MS Office Applications
  • Excellent communication and interpersonal skills
  • Willing to work on site
  • Willing to work on shifting schedule (24/7 operation)
