Iron Mountain is seeking a detail-oriented and motivated Workforce Administration Specialist to join our Human Resources Operations Service Center team.
In this role, you will be responsible for providing centralized HR administration, maintaining employee records, and supporting local benefits and compliance workflows for our Romania operations.
You will join a collaborative regional team dedicated to delivering high-quality employee lifecycle support across Europe, the Middle East, and Africa (EMEA).
What You’ll DoIn this role, you will:
Retained HR Administration: Maintain and organize local employee files ensuring data privacy compliance, manage local termination cases under the global offboarding process, and handle in-house administrative activities such as medical leaves and employee certificates.
Compliance and Reporting: Support the preparation and submission of required local Romanian HR government reports and data, ensuring strict adherence to regulatory requirements and deadlines (including REGES).
Partner Collaboration: Assist the outsourced HR partner with the resolution of routine and complex employee lifecycle event cases by providing necessary documentation from local records.
Benefits Administration Support: Support the administration of local benefits programs—including initial data entry for enrollments, changes, and terminations—and resolve complex benefits queries.
System Data Management: Support the accurate recording of leaves of absence and other transaction data in core HR systems following established processes.
The ideal candidate will have:
1–2 years of experience in an HR administrative, data entry, or similar HR support role.
Strong knowledge of HR Information Systems (such as Workday) and case management tools (such as ServiceNow).
Language Proficiency: Fluency in both English and Romanian is essential for this role.
Data Integrity: Strong attention to detail and exceptional accuracy in data entry and record-keeping.
Regulatory Awareness: Familiarity with Romanian labor documentation and localized HR processes.
Location: Cluj-Napoca - this is a hybrid role that will require presence in the office at least once per week.
