We’re looking for a Wealth Management Admin Assistant to be the operational backbone of our Wealth Management team. This role is critical to ensuring contracts are executed seamlessly, client documentation is always accurate and up to date, and our internal teams are aligned to deliver an exceptional investor experience.

You’ll sit at the intersection of clients, advisors, legal, and operations — making sure nothing slips through the cracks. If you’re highly organized, detail-obsessed, and love supporting a fast-paced team, you’ll thrive here.

How you will shape Prophero:

  • Manage end-to-end contract preparation, review, and execution tracking
  • Ensure all client documentation is accurate, complete, compliant, and audit-ready
  • Coordinate investor onboarding and documentation collection processes
  • Maintain structured digital filing systems and CRM records with zero gaps
  • Partner cross-functionally with Wealth Advisors, Legal, Finance, and Operations to keep transactions moving smoothly
  • Proactively identify process inefficiencies and help improve back-office workflows

What you will bring to our team:

  • Experience: 2+ years in an administrative, operations, or back-office role (wealth management, financial services, legal, or real estate experience is a plus)
  • Strong experience handling contracts and structured documentation
  • Exceptional attention to detail — you catch what others miss
  • Highly organized with strong follow-through
  • Advanced English, as all our teams are distributed globally and we use English for all internal communications.
