In this Voyage Coordinator role, you will focus on providing detailed data support to the Voyage Optimisation and Sales & Marketing departments in line with established Stolt standards, guidelines, and procedures. You will manage accurate and timely processing of invoicing and rebilling of charterers’ expenses according to governing Charter Party terms, and ensure collection of receivables within targeted time frames. You will also maintain and administer key voyage and COA data in IMOS, coordinate closely with internal stakeholders and customers, and support day-to-day voyage and customer service activities.

What you will be doing
As a Voyage Coordinator, you will play a key role in ensuring that voyages are executed efficiently and accurately, with a strong focus on data integrity and financial control. On a day-to-day basis, you will support the Voyage Optimisation and Sales & Marketing departments by maintaining and updating voyage-related data, including COA files, nominations, spot fixtures, and voyage itineraries in IMOS, always in line with Stolt standards, guidelines, and procedures. You will work closely with the Voyage Management Supervisor, Trading Manager, and other colleagues in Tanker Trading to provide accurate information on voyage progress, profitability, and KPIs, and you will liaise directly with spot and COA customers to handle nominations, last cargo information, ETAs/PTAs, and service requests. A key part of your work will be the efficient processing of invoicing and rebilling of charterers’ expenses, entering extra charges in IMOS and ensuring they are correctly re-billed, while monitoring the collection of all receivables within targeted time frames. You will also prepare and sign vessel certificates in accordance with legal directives, provide weekly forecast reports, and maintain a robust and accurate database administration. In addition, you will support voyage optimisation activities as directed and contribute to ad hoc projects assigned by management, working in an analytical, detail-focused environment using MS Office and IMOS as your primary tools.
Key responsibilities
- Maintain COA files and ensure they are kept up to date including nominations and any later changes to the COA nomination in IMOS to ensure data accuracy; Maintain all relevant COA KPIs as directed by the Trading Manager.
- Maintain voyage itinerary and P/L for assigned ships, and provide comments on voyage progress in the notes section.
- Ensure IMOS entries such as extra charges to be re-billed,spot fixtures and any changes, and entry of barging and transshipments.
- Prepare and sign vessel certificates in accordance with legal directive.
- Provide weekly forecast report.
Qualifications
- Bachelor’s degree or equivalent level of education.
- 1–2 years’ experience in a similar analytical role or demurrage.
- Excellent analytical skills with a high level of accuracy and attention to detail.
- Strong communication skills with a problem-solving approach.
- Computer skills with good working knowledge of MS Office applications.
- Knowledge and experience with IMOS is an advantage .
