🔑 Your Role:

As a Virtual Executive Assistant – SEO & Digital Marketing, you’ll provide vital support to the management team, ensuring smooth operations and efficient communication across departments. You’ll be instrumental in coordinating tasks, managing reports, and assisting with client and marketing activities. You will:

  • Manage executive emails, calendars, and meetings — ensuring priorities are organized and deadlines are met.
  • Prepare and update monthly reports using tools like Harvest and Asana.
  • Assign and track tasks in project management systems to maintain workflow visibility.
  • Handle travel coordination, including booking flights, vehicles, and accommodations.
  • Perform data entry and maintain accurate records in company systems.
  • Provide light design and marketing support by creating basic graphics (logos, banners, etc.) using Canva — training provided.
  • Post and maintain social media content (copy/paste tasks — no writing required).
  • Coordinate and send gift cards or appreciation gifts to clients and team members.
  • Engage with potential clients through LinkedIn and Leadferno, gathering insights and supporting the sales team.
  • Update and maintain website content and assist with social media data tracking.
  • Support onboarding and offboarding processes for clients when needed.
  • Offer ad hoc administrative support to ensure seamless daily operations.

What You’ll Need:

  • 2+ years of administrative or executive support experience, preferably in a digital marketing or agency environment.
  • Excellent organizational and multitasking skills — able to balance priorities efficiently.
  • Strong written and verbal communication in English.
  • Familiarity with Harvest, Asana, Linkedin, Leadferno and Canva (or willingness to learn).
  • High attention to detail and accuracy in reporting and data management.
  • Ability to work independently in a remote setting with professionalism and accountability.
  • Positive, proactive attitude and a commitment to reliability.
  • Flexibility for working an 8-hours-of-work shift between 09:00 AM and 07:00 PM EST.
