CIB Chief Administrative Office (CAO) - Administrative Enablement a dedicated, specialized support function leveraged by the CIB to streamline internal operations, strengthen controls, reduce bureaucracy, and facilitate partnerships with various subject matter expert organizations (e.g., Technology, Real Estate, HR, etc.)
As a Vice President - Executive Services and Administrative in CIB CAO - Administrative Enablement, you will lead teams of administrative assistants supporting leaders across Asia Pacific (APAC) and Europe, Middle East and Africa (EMEA). You will strengthen service delivery and controls, build scalable processes, and partner closely with stakeholders to ensure coverage aligns to business priorities. You will also develop talent, lead operational projects, and help drive a consistent, high-quality administrative support experience.
Job responsibilities:
- Lead day-to-day operations for an administrative support team, ensuring appropriate coverage and alignment to business priorities across regions
- Build and improve administrative enablement processes and operating routines to support efficient, consistent service delivery
- Define and track performance metrics to monitor service quality, capacity, and operational outcomes
- Manage performance processes, including goal setting, coaching, feedback, and compensation planning support in alignment with firm practices
- Hire, onboard, train, and retain administrative talent; build succession plans and develop future leaders
- Coach and mentor team members and people managers to strengthen capability, engagement, and continuous improvement
- Partner with business leaders and key stakeholders to anticipate change, prioritize needs, and deliver scalable support solutions
- Ensure compliance with policies and procedures through training, governance routines, and ongoing oversight
- Strengthen the control environment by identifying risks, escalating issues appropriately, and driving remediation actions
- Lead and contribute to projects that improve productivity, reduce bureaucracy, and optimize business processes
Required qualifications, capabilities and skills:
- 8 years of experience in administrative operations, human resources, people management, or supporting employee lifecycle processes
- 3 years of people management experience at a senior leadership level (Vice President or equivalent) within a global organization, including coaching, performance management, and talent development
- Demonstrated ability to lead operational change and implement process improvements
- Experience defining and using performance metrics to manage service delivery and outcomes
- Strong written and verbal communication skills, including stakeholder updates and executive-ready summaries
- Proven ability to build effective working relationships across teams and senior stakeholders
- Demonstrated problem-solving skills, including root-cause analysis and structured decision-making
- Experience in a client-facing, service delivery, or customer support environment
- Ability to operate in a highly controlled environment with a focus on risk management and policy adherence
Preferred qualifications, capabilities and skills:
- People management experience in a financial services organization or similarly regulated environment
- Experience leading teams across multiple countries or time zones, including matrixed stakeholder management
- Experience leading teams through the adoption of AI-enabled analytics, workflow automation, or intelligent process tools to improve operational efficiency and accuracy, reduce manual effort, and support consistent, well-controlled execution through coaching, change adoption, and continuous improvement.
