About the role

The Vendor Operations Specialist will be responsible for maintaining an existing network of third-party vendors, onboarding new vendors, responding to vendor inquiries regarding onboarding and Coupa, monitoring continued compliance, and general project cleanup. 

This role works a hybrid schedule, with three days each week onsite at our Mexico City office.

WHAT YOU’LL DO
  • Review vendor onboarding documentation to ensure tax, banking, and other required documents are complete and compliant 
  • Review and process any changes to active vendor records
  • Proactively contact vendors or stakeholders when additional information is needed and provide on-going communication on status
  • Respond to vendor and employee inquiries regarding the onboarding process and Coupa training
  • Conduct bank verifications for new vendors and bank account change requests as part of compliance protocols
  • Continuous cleanup of previous supplier records
  • Perform all duties in accordance with the company’s policies and procedures, US state and federal laws and regulations, as well as international territories wherein the company operates or engages in business with vendors
  • Review purchasing inbox, ensuring vendor requests are properly routed and addressed
  • Provide tactical support for Requests For Information (RFIs), Requests For Proposals (RFPs), Request For Bids, and all accompanying documents
About You
  • 3+ years of experience in vendor management
  • Previous experience working in Coupa and NetSuite
  • Knowledgeable about various tax forms, banking policies, supplier diversity certifications, and payment term requirements
  • Good working knowledge of overall Google & Microsoft business suites
  • Strong communication, problem-solving, and data analysis skills to ensure vendor engagement and policy adherence
  • A proactive, self-directed approach with the ability to multi-task, think creatively, pivot often, and learn quickly in a fast-paced environment 
  • Excellent written and verbal communication skills
  • Exceptional organizational skills, detail-oriented mindset, values compliance, and a high sense of ownership of your work

Hybrid Workspace

Employees engage in a combination of remote and on-site work.

Three in-person days per week. Tuesdays, Wednesdays, and Thursdays are the company-wide days for ALL team members to be in the office, and individuals may choose to come in more if they please.
