Position Summary:
Reporting to the Manager, Payroll, the Payroll Specialist is a critical position within the organization, serving a workforce of over 1,100 employees in the US. This position is responsible for processing and reviewing semi-monthly and bi-weekly payroll and for ensuring compliance with company and legislative requirements.
The Payroll Specialist provides subject matter expertise regarding all payroll processes and procedures. This position focuses on the administration of payroll processes, and procedures, as well as assisting other departments. The position serves as a point of contact for employee questions and concerns with respect to payroll issues. The position requires that the employee possess full cycle payroll experience with Dayforce (Ceridian) and can multitask and work independently. Integrity, strong attention to detail, and time management are crucial for this role.
Key Responsibilities:
- Prepare and process full cycle payroll and all related activities in accordance with company and regulatory requirements.
- Process irregular payments including annual bonus, various leave top-ups, salary continuance, commissions, bonuses, termination payments, and timesheet entries for overtime and on-call.
- Audit employee timecards for accuracy and completeness in the time and attendance module.
- Responsible for garnishments and employment verification requests as required.
- Administer and reconcile employees’ benefits deductions and employer contributions in Dayforce.
- Prepare and upload 401K and HSA contributions files. Record the journal entries.
- Communicate payroll schedules and deadlines amongst departments for necessary payroll input.
- Assist with the preparation of W-2s and annual reconciliations.
- Support internal and external audits, including government and third-party external payroll audit requirements.
- Maintain and update payroll documentation for all workflow and system procedures necessary to support the US payroll processes.
- Resolve employee questions and problems regarding payroll by researching policies and procedures, and by providing answers and resolutions to any problems or concerns that arise by responding within a timely manner.
- Provide feedback and suggestions on process improvements and procedures to enhance efficiency and continuous improvement.
Required Experience:
- Minimum of 3 years of related experience in administering full cycle payroll.
- Minimum of 1-year recent Dayforce (Ceridian) experience.
- Understanding of payroll practices and US legislation.
- Intermediate Excel skills.
- Highly organized and detail-oriented with the ability to set priorities and meet tight deadlines.
- Service-oriented with strong communication skills, both verbally and written.
- Ability to work well independently, as well as in a team.
- Must be able to handle confidential information in an ethical and professional manner.
- Post-secondary education or equivalent business experience.
- Payroll Professional designation.
