About the role:

We are looking for a proactive, organised and detail-oriented Travel Coordinator to join our Travel team. The role will support employees with their day-to-day travel needs and help ensure a smooth and well-organised travel experience. You will work closely with employees, internal teams and external travel suppliers to coordinate travel arrangements and support employees throughout their travel. 

This is a hands-on and varied role suited to someone who enjoys organisation, working with people, solving problems and managing different priorities in a fast-paced environment. 

Key Responsibilities:

Travel Coordination 

  • Coordinate day-to-day travel arrangements for employees, helping ensure all necessary arrangements are in place, including accommodation, travel documentation and local transportation.

Visa & Travel Documentation 

  • Support employees with their visa and travel documentation requirements.

Accommodation Management

  • Arrange suitable accommodation in line with company travel policies, traveller requirements, approved budgets and safety considerations.

Transportation Arrangements 

  • Coordinate local transportation, including airport transfers and other ground transportation, to support smooth and efficient travel.

Flight Booking Coordination

  • Work closely with the Travel team responsible for flight bookings, providing the required travel details and ensuring arrangements are properly coordinated.

Expense & Budget Support 

  • Assist with tracking travel-related expenses and maintaining accurate records in line with company policies and approved budgets.

Traveller Support

  • Support employees with travel-related questions, changes or unexpected issues, helping to find practical and timely solutions.

Documentation & Reporting

  • Maintain accurate records of travel arrangements, expenses and relevant travel information to support internal tracking and reporting.

Policy & Process

  • Follow company travel policies and procedures when arranging and coordinating travel, while ensuring relevant processes are followed accurately.

Team Support

  • Support the Travel team with additional tasks and projects as required, contributing to the smooth running of the department.

What we're looking for:

  • Previous experience in travel, tourism, hospitality or a similar coordination role is a plus, but not essential.
  • Strong organisational and time-management skills.
  • Excellent attention to detail and accuracy.
  • Good communication and interpersonal skills.
  • A customer-focused approach and a genuine interest in helping others.
  • Ability to manage multiple requests and priorities in a fast-paced environment.
  • A proactive and solution-focused approach when dealing with changes or unexpected situations.
  • Comfortable communicating with employees, internal teams and external suppliers.
  • Good working knowledge of Microsoft Office / Google Workspace.
  • Experience with travel booking systems or travel management platforms is an advantage, but training can be provided.
  • Willingness to learn, develop and contribute as part of a team. 
  • Willingness to work weekends and public holidays when required, particularly during company events and busy travel periods.
