This role is critical in managing the administrative requirements of the Fiji offices delivering a high standard of service to staff and site visitors. The Administrative Coordinator is responsible for overseeing the administrative operations of the business, including taking responsibilities for office stationery supplies and tea-room supplies, taking responsibility for accounting for and recording supply of Health and Safety requirements and supplies, working with our Digital supplier and keeping records of phone and Wi-Fi supplies, and the booking of accommodation and flights and taxis, ensuring these functions performed in a seamless and efficient manner. Additional key responsibilities of the role include coordinating and managing office events, coordinating facility management tasks and raising purchase orders. The position is responsible for providing support to the senior NPDL Fiji team and the HR team.
Job DescriptionDelivery Docket & Charge Processing
- Process delivery dockets for SES, SDV, SLC, SPR, Transam Logistics, Waste Bin Charges, and Weighbridge.
- Verify delivery dockets against container lists for FCL movements.
- Check Weighbridge certificates and ensure accurate charging.
- Manage outside hire for waste bins and process related charges.
Fumigation & Storage Charges
- Process fumigation and storage fees based on work orders from the Operations team.
- Verify details with SCU before raising invoices.
Internal & External Query Handling
- Respond to queries relating to charge code loss, WIPS, accruals, unbilled items, and unlocked transactions.
Petty Cash & Allowance Management
- Maintain a petty cash float.
- Ensure proper approvals are obtained before releasing petty cash.
- Arrange allowances for drivers travelling for project work or container deliveries outside Suva.
Timesheet & Overtime Administration
- Check weekly timesheets and overtime entries.
- Ensure all timesheets are submitted every Wednesday.
- Follow up on log sheets for overtime job numbers and details.
- Record overtime job numbers accurately.
Allowance Preparation
- Ensure allowance forms are completed and sent for approval.
- Release funds from petty cash or coordinate with Finance.
Creditors Invoice Processing
- Review creditor invoices against requisition forms to ensure accuracy of items purchased and amounts charged.
- Obtain approvals and forward invoices to Finance.
- Work on outstanding LPO lists and follow up with relevant departments.
General Administrative Support
- Open general job files as required.
- Carry out additional duties assigned by management.
- Minimum 3 years’ experience in a similar role
- Proficiency with Microsoft Office Suite, Excel and Word.
- Excellent communicator both orally and in writing with a talent for operating across different levels in a business.
- Highly dependable and trustworthy
- Strong problem solving, critical thinking and interpersonal skills.
- Excellent time, task, and resource management skills
- Ability to plan for and keep track of multiple tasks and deadlines.
- Hold a current full driver’s license.
- After-hours flexibility including weekends and public holidays as required.
