The Job/What You’ll Do:

The Transfer & Cost Basis Specialist plays a key role in ensuring the accurate, efficient, and timely execution of both transfer and cost basis processes at AssetMark Trust Company. This position supports incoming and outgoing transfers while also maintaining the integrity of cost basis data across systems. Individuals may have a primary focus in transfers or cost basis, with cross-training across transfers in, transfers out, cost basis review, and reconciliation functions to support operational flexibility.

This role requires strong attention to detail, analytical capability, and a control-focused mindset. The Specialist is responsible for executing core transfer workflows, reviewing and reconciling incoming cost basis information, researching discrepancies, and performing manual updates when required. The role includes working within Maxit and supporting data integrity across platforms, with familiarity with CBRS considered a plus.

The Specialist manages escalations related to both transfer activity and cost basis breaks, performing root cause analysis and driving timely resolution. The position also requires proactive outreach to financial advisors and coordination with contra firms and internal teams to resolve missing or incomplete cost basis information and ensure accurate asset and tax lot alignment.

Success in this role requires the ability to balance multiple priorities, maintain high productivity standards, and ensure accurate books and records while delivering responsive, high-quality service. Specialists have a clear path for advancement to II, III, and Senior levels through expanded technical expertise, cross-functional proficiency, and consistent performance.

We can consider candidates for this position who are able to accommodate a hybrid work schedule and are close to our Phoenix, AZ office.

Responsibilities:

• Review and process transfer paperwork accurately and efficiently.

• Review incoming cost basis data for completeness and accuracy.

• Maintain detailed records for delivery and contra firms.

• Reconcile missing, incomplete, or inconsistent cost basis information.

• Track incoming and outgoing transfers, resolving issues and NIGO items promptly.

• Research and resolve cost basis discrepancies, including tax lot breaks and corporate action impacts.

• Communicate clearly and timely with advisors, contra firms, and internal teams.

• Perform manual cost basis updates within aplicable systems to correct inaccurate or missing data.

• Conduct daily audits to ensure accurate books and records.

• Proactively outreach to financial advisors to obtain missing or incomplete cost basis information.

• Update and maintain transfer procedures to support process consistency.

• Manage escalations related to transfer and cost basis issues, performing root cause analysis and driving timely resolution.

• Collaborate with internal teams and transfer agents to improve efficiency and structure.

• Execute core transfer work types for incoming or outgoing transfers with precision.

Knowledge, Skills, Abilities:

  • Knowledge of ACAT, Non-ACAT, and DTC transfers and core transfer processes.
  • Working knowledge of cost basis principles, tax lot accounting methodologies, and corporate action impacts.
  • Experience reviewing incoming cost basis and reconciling missing or incomplete cost basis data.
  • Strong reconciliation skills with the ability to identify, analyze, and resolve discrepancies.
  • Experience managing escalations and performing root cause analysis to drive resolution.
  • Strong analytical and problem-solving capabilities with a control-oriented mindset.
  • Excellent attention to detail and commitment to maintaining accurate books and records.
  • Effective written and verbal communication skills, including proactive outreach to financial advisors and coordination with contra firms.
  • Ability to prioritize workload, manage multiple workstreams, and maintain productivity in a high-volume environment.
  • Strong collaboration skills with the ability to work cross-functionally to improve processes and data integrity.
  • Familiarity with CBRS, the Cost Basis Repository System, preferred.
  • Familiarity with Maxit or similar cost basis system, preferred.

Education & Experience:

  • Minimum of 1 years of industry experience (Required)
  • Bachelor’s Degree or equivalent work experience (Required)
  • Experience in brokerage and banking (Preferred)

Compensation: The Base Salary range for this position is between $57,500-$67,500.  

 

This information reflects a base salary range that AssetMark reasonably expects to pay for the position based on a number of factors which may include job-related knowledge, skills, education, experience, and actual work location. This position will also be eligible for additional variable incentive compensation and competitive benefits.
