Responsible for the day-to-day transaction management of a portfolio of properties on behalf of one or more national and/or global corporate services clients. Portfolio & Client Support
- Support team managing multi-market and single-market client portfolios, including board decks, approvals, tour scheduling, showings, etc.
- Assist with portfolio tracking, lease expiration schedules, and pipeline management across assigned accounts.
Marketing & Deliverables
- Prepare high-quality client materials including tour books, market summaries, financial comparison tables, and portfolio review decks.
- Coordinate with marketing and research teams to produce accurate, client-ready presentations and reports.
- Ensure branding, formatting, and data consistency across all deliverables.
Data, Reporting & Systems
- Maintain accurate and up-to-date records in CRM and transaction management systems (e.g., Salesforce).
- Assist with portfolio analytics, rent comparisons, and basic financial modeling under broker direction.
- Track activity, pipeline metrics, and reporting for internal and client use.
Cross-Functional Coordination
- Liaise with internal teams including research, finance, legal, marketing, and workplace strategy to support client initiatives.
- Coordinate calendars, meetings, and logistics for client presentations, tours, and portfolio reviews.
- Support onboarding of new portfolio clients and transitions between ownership or property management teams.
Market Research & Intelligence
- Assist with gathering market data, comparable transactions, and landlord information.
- Support brokers with research related to market conditions, availability, and competitive positioning.
Transaction Coordination
- Coordinate transaction workflows from initial requirements through execution, including tours, proposals, and deal documentation.
- Prepare and organize Letters of Intent (LOIs), proposals, and transaction summaries.
- Track key deal milestones, critical dates, and deliverables to ensure timely execution.
Qualifications
- Bachelor’s degree or equivalent experience.
- 2–5 years of experience in commercial real estate brokerage support, transaction coordination, or portfolio administration preferred.
- Strong organizational and project management skills with the ability to manage multiple priorities.
- Excellent written and verbal communication skills.
- High proficiency in Microsoft Office (Excel, PowerPoint, Word) and CRM platforms (Salesforce preferred).
- Experience with CoStar or similar market research tools a plus.

The compensation that will be offered to the successful candidate will depend on factors such as whether the position is covered by a collective bargaining agreement, the geographic area in which the work will be performed, market pay rates in that area, and the candidate’s experience and qualifications.
The company will not pay less than minimum wage for this role.
