We are seeking a highly organized, proactive, and dynamic Traffic Manager to be the heartbeat of our operations. In this pivotal role, you will act as the central link connecting our creative, project management, and client service teams — ensuring a seamless flow of projects from inception to delivery.
You will be responsible for coordinating resources, managing timelines, and optimizing workflows to guarantee that every campaign is delivered on time, on budget, and to the highest standard. Beyond managing schedules, this role requires a forward-thinking mindset — someone who proactively seeks to understand how much time is truly needed for each task, identifies where efficiencies can be gained, and adjusts plans accordingly to maintain momentum without compromising quality.
You’ll work closely with creatives to understand their process, time allocations, and design variables that could impact delivery. By keeping a close eye on time tracking, progress, and outcomes, you’ll turn insights into action — identifying bottlenecks, uncovering improvement areas, and refining our approach to continuously evolve how we deliver work. A critical function of this role is schedule accuracy. The Traffic Manager does not passively accept time estimates from the studio — they interrogate them. If a creative says a job will take two days but the scope, format, and revision cycle suggest otherwise, this role is expected to consult, challenge constructively, and align on a realistic timeline collaboratively. This requires genuine production knowledge — not opinion, not guesswork, but informed judgement built from hands-on experience in design and/or technical delivery.

Key Responsibilities:
- Resource Allocation: Take a data-driven approach to allocating internal team resources — not just booking time, but truly understanding what’s being booked for, how it aligns with project needs, and the implications on overall capacity and utilization. Ensure workloads are balanced, efficient, and strategically planned.
- Workflow Management: Oversee and optimize the end-to-end project lifecycle, ensuring all tasks are assigned, tracked, and completed efficiently and on schedule.
- Scheduling & Prioritization: Build and maintain detailed project schedules, proactively identifying potential bottlenecks and re-prioritizing tasks as needed to meet critical deadlines.
- Communication Hub: Act as the central point of contact for project status, providing clear, concise updates to all stakeholders — including internal teams, creative leads, and account managers.
- Process Improvement: Continuously identify opportunities to refine internal processes, foster greater efficiency, improve collaboration, and elevate quality control across teams and responsible project streams.
- Risk Mitigation: Proactively anticipate potential challenges or delays, developing solutions to keep projects on track while maintaining creative and operational excellence.
- Reporting & Insights: Track and report on project status, resource utilization, and delivery outcomes to inform decision-making and highlight areas for improvement. Translate time and allocation data into actionable insights that enhance future planning. Data driven resource planning and performance mindset.
- Tool Management: Leverage and optimize project management and scheduling tools (e.g., Jira, Asana, Monday.com, Float) to ensure accuracy, transparency, and real-time visibility into workload and progress.
- Experience: A minimum of 4-5 years of proven experience in a Traffic Manager, Project Manager, or similar workflow coordination role within a fast-paced creative agency environment, ideally digital.
- Organizational Acumen: Exceptional organizational skills with meticulous attention to detail and the ability to manage multiple complex projects simultaneously.
- Communication Mastery: Outstanding written and verbal communication skills, with a natural ability to build rapport, negotiate, and influence across diverse teams.
- Assertiveness & Stakeholder Management: Confidence to manage pressure from client service and leadership teams - knowing when to challenge requests, reset expectations, and protect the integrity of timelines and team capacity.
- Process Discipline: Strong commitment to enforcing and continuously improving internal processes, ensuring consistent delivery standards. Strong attention to detail and a genuine preference for clean, accurate data over approximate status updates.
- Problem-Solving Prowess: A proactive and calm approach to identifying and resolving issues, always seeking efficient and effective solutions.
- Digital Fluency: A solid understanding of digital marketing disciplines (e.g., GMP, SEO, PPC, Social Media, Creative production) and the associated workflows. (experience in product or tech is a plus)
- Tech Savvy: Proficiency in project management and resource planning software for best practice.
- Adaptability: The ability to thrive in a dynamic, evolving environment and adapt quickly to changing priorities and ways of working.
- Creative Experience: Hands-on background in design, technical production, or a closely related discipline — enough to understand what is involved in producing the work, how long different task types realistically take, and where estimates are likely to be inaccurate.
- Proactive Mindset: A self-starter who takes initiative and anticipates needs before they arise.
- Data & Reporting Experience with data driven approach to planning.
