To manage and coordinate the flow of marketing and creative work through the production process to ensure projects are completed efficiently, on schedule, and according to business priorities.
The role acts as a central point of coordination between marketing, creative, production, and external teams by managing schedules, allocating resources, monitoring deadlines, and ensuring smooth workflow and communication across all projects.
Responsibilities- Manage project briefing and planning by receiving, reviewing, and validating briefs to ensure all objectives, deliverables, and timelines are clearly defined and aligned with brand requirements.
- Facilitate effective stakeholder communication by scheduling and leading status update and creative review meetings, and updating the project management system to ensure accurate project tracking.
- Coordinate workflow and resource allocation by assessing project requirements, team capabilities, workloads, and availability to assign work appropriately and optimise delivery.
- Monitor project timelines and progress by proactively tracking deliverables, following up with brand and creative teams, and driving actions required to ensure on-time completion.
- Collaborate with creative leadership to allocate resources on projects, ensuring the most suitable and experienced team members are assigned to deliver quality outcomes.
- Manage creative review processes by coordinating internal and brand reviews, next steps, and ensuring all revisions are communicated and actioned through project management systems.
- Conduct quality assurance checks by reviewing final creative outputs against the original brief to ensure all requirements, objectives, and brand expectations have been met.
- Provide proactive risk management and escalation by identifying potential project delays, developing contingency plans, redistributing workload where necessary, and alerting leadership to risks.
- Maintain accurate project administration and reporting by launching studio projects, tracking project timings, and ensuring data integrity to support reporting and resource planning.
- Ensure system and workflow governance by maintaining the project management system updates daily, providing visibility of project status, timelines, and actions for both brand and creative teams.
Essential:
- 2 - 4 years' experience in one or more of the following areas:
- Traffic Coordination
- Marketing Operations
- Production Coordination
- Agency or Creative Studio Workflow Management
- Project Administration
Advantageous:
- Diploma or Degree in:
- Marketing Communications
- Business Administration
- Project Management
- Media or Production Management
You'll have experience managing and coordinating:
