This role will require every weekend. Ideal candidate is available Saturday through Wednesday to put in a 40 hour week during that time.
Key Responsibilities:
- Schedule, confirm, and update appointments for customers, clients, or vendors.
- Communicate professionally via phone, email, and internal systems to coordinate appointment details.
- Verify necessary information such as availability, service requirements, and documentation.
- Maintain accurate appointment logs, records, and reports.
- Follow up on missed or rescheduled appointments to ensure continuity of service.
- Collaborate with other departments (such as dispatch, operations, or customer service) to ensure smooth scheduling and operational efficiency.
- Handle inquiries and resolve scheduling conflicts or issues promptly.
- Maintain confidentiality and adhere to company policies and procedures.
Qualifications:
- High school diploma or equivalent; associate degree preferred.
- 1–2 years of experience in scheduling, administrative support, or customer service.
- Strong organizational and multitasking skills with high attention to detail.
- Excellent verbal and written communication skills.
- Proficient in Microsoft Office Suite (Excel, Outlook, Word) and scheduling or logistics software.
- Ability to remain calm and professional under pressure and manage competing priorities.
Preferred Skills:
- Experience in a logistics, transportation, or healthcare environment (depending on industry).
- Familiarity with CRM or TMS (Transportation Management System) software.
- Bilingual skills (English/Spanish) a plus.
