Title & Auction Administrator

As a Title & Auction Administrator, you’ll work within the Hagerty and Broad Arrow Administration team with responsibilities related to the sale, auction, and financing of collector cars. You’ll collaborate with an experienced team of industry professionals as well as high net worth clients on title and vehicle registration, financing, and logistical coordination, related to the successful execution of live and online auctions, private sale transactions, and financing.

What you’ll do:

• Provide exceptional customer service
• Help develop the client and administrative experience on all levels of engagement with the Administration and Client teams
• Plan and manage the administrative tasks related to consignments, financing, and transactions of cars offered via private sale and auction. These include:
• Title, registration, and/or power of attorney review and assessment, including inspecting vehicles and ensuring vehicles are transferable to buyers and liens can be placed in connection with the sale and financing of vehicles;
• Proactively identify potential title, registration, inspection or SMOG-related issues;
• Financing support for vehicles subject to financing, auction advances, or guarantees, including supporting the loan closing and funding process by collecting and organizing supporting documentation, maintaining and updating legal checklist, searching liens, due diligence searches and review, coordination of execution of signature pages internally and with third parties, and placing, removing, and modifying liens, UCC-1 financing statements, and related encumbrances in the U.S., Canada, and Europe;
• Coordination with Finance & Accounting and Client teams on payments, including applicable taxes or duties, once title and other administrative issues are solved; and
• Coordination with research teams on catalog requests related to vehicle title, registration, and history (e.g., NMVTIS searches and researching vehicle VINs)
• Work with the legal team on various legal, governance, and risk management needs, including:
• Support tracking of status and resolution of customer disputes and liaise with clients to solve administrative challenges;
• Support licensing and regulatory needs including applications for new licenses and renewals and entity management; and
• Coordinating changes to company insurance and obtaining insurance for special consignments
• Assist with post-sale invoicing, potential transportation, import/export, and load-out, including through attendance at live auctions as needed
• Necessary data entry and database management related to car consignments, sales, and financing, specifically car and client-related information
• Occasional business-related travel

This might describe you:

• Bachelor’s degree or equivalent experience
• Pre-existing understanding of automotive title work and DMV-related matters preferred
• Exceptional organizational skills and ability with very strong attention to detail
• Polished client-facing engagement and eagerness to directly interact with clients and problem-solve for them
• Excited about working with autonomy and independence
• Excellent written and verbal communications skills
• Ability to deliver under time pressure and deadline
• High level of integrity and work ethic
• Knowledge in Microsoft suite
• Positive attitude with strong orientation for teamwork and collaboration

Other things to note:

• This position is based in our Van Nuys, CA office with flexibility for partial work-from-home arrangements
• Familiarity with public company requirements, including Sarbanes Oxley and key regulations, if applicable. For SOX compliant roles, responsible for designing, executing, and documenting internal controls where they have been identified as owners to prevent errors in financial reporting, processes, and business operations. Including attestation to the completeness, accuracy, and compliance of all financial reporting data, where applicable.
