Position Summary
The HR Operations Coordinator delivers HR services through accurate, timely execution of high-volume employee lifecycle transactions and frontline HR support. This role is part of the HR Shared Services team and is responsible for coordinating employee preboarding, onboarding, and offboarding, records management, and administering the employee services and discount programs. The HR Operations Coordinator is the primary point of contact for employee inquiries related to HR, managing questions and concerns through channels such as the HR hotline and HR Coordinator inbox The HR Operations Coordinator helps identify and implement opportunities to improve processes, increase efficiency, and support continuous improvement efforts within HR.
This is a 12-week temporary-to-permanent position.
This is a hybrid position working 2-3 days in the Wakefield MA office. Travel to Brockton, MA 2-3 days a month may be required.
Key Responsibilities
- Coordinating Employee Preboarding: Communicate with new hires and their managers regarding critical Day One information, order badges and technology, and ensure I-9s and E-Verify requirements are completed.
- Coordinating New Colleague Orientation: Manage the orientation schedule and communicate attendee information to relevant stakeholders; order breakfast, set up the orientation room, maintain gift inventory, and coordinate distribution for orientation participants.
- Coordinating Employee Offboarding: Communicate with employees separating from the Bank and their managers, coordinate equipment pickup with Technology, and respond to unemployment claims.
- Manages Employee Services and Discounts: Respond to requests for discounted tickets and serve as the point of contact for discount vendors; send employee announcements and coordinate floral and gift arrangements for employees and their families following births and deaths.
- Records Management: Creating and maintaining electronic employee files; responding to requests for employee files.
- Administrative: Primary owner of the HR Operations shared email inbox and calendar, responding to inquiries with accuracy and urgency. Answer and triage calls to the HR Hotline, resolving inquiries or routing appropriately. Process invoices as received and ensure timely submission. Order and manage office supplies as needed. Serve as one of the front desk staff on an assigned desk day. Provide backup support for the HR Operations Specialist.
Requirements
Education and Experience
- High school diploma required; Associate's degree preferred.
- 3–5 years of progressive administrative experience, preferably in HR operations or HR shared services.
- Experience working in an HR Shared Service environment highly preferred
Skills and Knowledge
- Experience with employee lifecycle operations highly preferred.
- Proficient in Microsoft Office Suite (Outlook, Excel, and PowerPoint) and Oracle HR systems or similar HRIS platforms.
- Ability to develop strong working relationships and maintain confidentiality with sensitive employee information.
- Strong organizational and time management skills with the ability to manage multiple priorities.
- Effective verbal and written communication skills.
- Ability to manage high-volume, detail-oriented tasks.
