Description of Work

This posting is for a Temporary Administrative Associate I position at the Division 9 Division Office. The main function of this position will be to examine, organize, scan and archive documents into the online NCDOT My Road File System. Provide clerical support to the Division Executive Assistant such as filing, recording meeting minutes, taking messages, preparation of municipal agreements, and all other general work as directed by the Division Engineer. This position will also serve as backup receptionist using multi-line phone system for several administrative offices. This involves answering and transferring calls, taking messages, answering questions, looking up information to assist callers, etc. Greeting internal and external customers, providing assistance and directions as needed. Receiving, preparing, sorting, and stamping incoming and outgoing mail. Other clerical duties may be assigned as needed.
Additional Expectations:
This is a temporary position meaning there are no vacation/sick leave benefits or retirement benefits. Must be able to work fulltime hours, Monday through Friday, 8:00am to 5:00pm. Must have the ability to perform repetitive type job functions. Must have the ability to sit at a computer for long periods reviewing documents. Ability to scan, save and file documents electronically and accurately. Strong organizational and deductive reasoning skills, accurate data entry, and attention to detail required. Must be able to answer a multi-line phone system. Skill in working with the public with courtesy and tact, utilizing customer service skills. Ability to deliver mail to the post office as needed. The selected applicant will be expected to safely and legally operate a motor vehicle.
Knowledge Skills and Abilities/Management Preferences
Salary Grade and Salary Range: NC05 / $31,200 - $48,810
Management prefers applicants with the following:
- Customer service experience, including resolving customer issues
- Experience with Microsoft Office using programs such as Outlook, Word, and Excel
- Experience completing and/or maintaining records and reports
- Experience reviewing detailed documents and records for accuracy and completeness
- Experience with letter writing, using correct spelling, punctuation, and proofreading
Minimum Education and Experience
