The Technical Service Administrator plays a critical role in supporting the ANZ Technical Service team by coordinating service workflows, managing service documentation and system data, and ensuring accurate, compliant, and timely administrative processes.
This role ensures seamless coordination between customers, field service engineers, logistics, and internal stakeholders to maintain high service standards and regulatory compliance.
The position requires strong attention to detail, system proficiency, customer focus, and the ability to manage multiple priorities in a fast-paced environment.

This is a fixed term contract role, working directly with ZOLL Medical for 12 months. There is also potential for this role to become permanent.
Essential Functions
- Manage service job creation, scheduling and tracking in ERP/CRM systems (e.g., Workday, Salesforce or equivalent).
- Process service requests, returns (RMA), preventative maintenance schedules, and repair workflows.
- Coordinate field service engineer schedules and customer site bookings.
- Ensure service documentation is accurate, complete, and compliant.
- Act as a key point of contact for customers regarding service status, repairs, preventative maintenance and equipment returns.
- Provide timely updates and maintain professional communication.
- Support service quotation preparation and invoicing processes.
- Maintain service records in accordance with Australian and New Zealand regulatory requirements (e.g., TGA, Medsafe).
- Ensure accurate record-keeping for audits and quality assurance purposes.
- Support QA/RA requirements relating to service documentation.
- Coordinate shipping and tracking of service parts and loan equipment.
- Support spare parts inventory tracking and reconciliation.
- Liaise with warehouse and logistics teams to ensure timely dispatch.
- Maintain accurate data entry across systems.
- Generate service performance reports as required.
- Monitor KPIs such as turnaround times and service completion metrics.
- Identify process inefficiencies and recommend improvements.
- Support implementation of new systems or service workflows.
- Key Relationships: Technical Service Engineers (ANZ), Warehouse & Logistics, Sales & Clinical Teams, Finance (invoicing & credits), QA/RA Team, External Customers (Hospitals, Ambulance Services, Public Safety Agencies).
Required/Preferred Education and Experience
- 1-3 years experience in an administrative or service coordination role required
