Essential Responsibilities
As the Project Administrator & Quality Associate, you will:
- Maintain and update project schedules, task lists, and resource allocation trackers.
- Maintain & update Smartsheet for pacing reviews.
- Document meeting minutes, capture action items, and ensure timely follow-up with stakeholders.
- Prepare recurring status reports and presentations for management review.
- Manage project documentation repositories, ensuring all files are version-controlled and easily accessible.
- Coordinate all activities related to the project.
- Follow-up on the project derogations.
- Perform invoicing according to the contract terms.
- Good receipts for the projects
- Perform the administrative closing of the project.
- Coordinate Logistics and delivery of equipment and service tools.
- Inspect incoming materials related to Projects at Houston Service Warehouse as per the inspection plan, verify for damages, completeness, and conformity to specifications and documentation.
- Verify packing lists, and related paperwork against physical contents.
- Document inspection results, non-conformances, and discrepancies in accordance with established quality procedures.
- Identify, document, and track non-conformities; coordinate with project leads to ensure corrective actions are taken.
- Coordinate with warehouse, shipping, and operations teams to resolve issues related to damaged, incomplete, or non-conforming materials.
- Maintain accurate records of inspections, inventory movements, and quality checks.
- Support proper handling, storage, and preparation of equipment for shipment or receipt.
- Analyze workflow data to identify recurring process gaps and provide actionable recommendations for continuous improvement.
- Follow all safety, quality, and operational procedures while working in a warehouse/shipping environment.

Qualifications/Requirements:
- Bachelor’s degree in project management or business administration or equivalent with Technical Certificate
- 2–4 years of experience in project coordination, administrative support, or quality assurance roles in related environment
- Previous exposure to ERP tools /accounting tools (ie. SAP)
- Ability to travel 10% of the time

For candidates applying to a U.S. based position, the pay range for this position is between $72,000.00 and $108,000.00. The Company pays a geographic differential of 110%, 120% or 130% of salary in certain areas. The specific pay offered may be influenced by a variety of factors, including the candidate’s experience, education, and skill set.
Bonus eligibility: discretionary annual bonus.
