Position Summary:

The Pre-Planning Project Manager is responsible for bridging the gap between Cadwell’s Sales team and the Implementation Technical Project Management Team, ensuring that all technical, clinical, and logistical groundwork is established before a project reaches the Project Managers. This role serves as the first point of contact for general project and technical sales-related inquiries regarding Cadwell’s neurodiagnostic solutions and is accountable for the thorough completion of Statements of Work (SOWs) prior to receiving a purchase order. The Technical Implementation Planner conducts site assessments - including on-site visits to large prospective customer facilities - to evaluate existing hardware and infrastructure against planned purchases, identify gaps or upgrade requirements, and document all findings to enable a smooth handoff to the assigned Project Manager. Customer satisfaction, SOW accuracy, responsiveness, and project readiness are key success indicators in this role.

Key Job Duties and Responsibilities:

  • Serve as the primary point of contact for all technical sales-related inquiries, including technical questionnaires and RFPs, collaborating closely with the Sales team throughout the pre-sales process to ensure accurate implementation expectations are established prior to purchase order.
  • Own the Statement of Work (SOW) process for all assigned opportunities, ensuring each SOW is thorough, accurate, and fully executed by both parties prior to point-of-sale. Responsibilities include:
    • Engaging with Sales and prospective customers early in the sales cycle to gather implementation requirements and workflow details.
    • Documenting all agreed implementation deliverables, timelines, hardware requirements, software configurations, and training scope within a detailed SOW.
    • Coordinating internal review and approval of SOWs with the Sales Team, Sales Support, and any other stakeholders as required.
    • Ensuring SOWs are signed by both parties and are stored and tracked according to team standards, ensuring the SOW is accurate and ready for signatures.
    • Proactively identifying and flagging any ambiguous, incomplete, or high-risk SOW elements that could impact downstream implementation.
  • Conduct pre-planning site assessments for large prospective customers, including on-site visits when required, to evaluate:
    • Existing hardware, network infrastructure, and IT environment relative to what the customer is planning to purchase from Cadwell.
    • Required changes, upgrades, or additions on the customer side to support the planned deployment.
    • Any Cadwell hardware modifications, configurations, or accessories needed to meet the customer’s operational environment and work with sales to update quote(s) accordingly.
    • Physical space, power, and connectivity requirements for all planned equipment installations.
  • Facilitate a complete and accurate project handoff to the Project Managers in accordance with Implementation Team standards, ensuring all planning documentation, SOWs, site assessment findings, and customer contacts are transferred and understood prior to project kickoff.
  • Work with the Implementation Installation and Training teams to establish timelines and resource requirements prior to project handoff when possible.
  • Develop and maintain working knowledge of Cadwell’s workflow and hardware portfolio across all relevant neurodiagnostic modalities to accurately assess customer environments and evaluate compatibility, replacement needs, and upgrade paths.
  • Assist with the specification of planning and SOW process requirements for new product introductions and product enhancements.
  • Use the Implementation Team’s Key Performance Indicators (KPIs) to continuously evaluate personal performance and identify opportunities for improvement.
  • Recommend updates to planning procedures, SOW templates, and site assessment checklists to improve team efficiency and reduce downstream escalations.
  • Participate in all scheduled Implementation Team meetings and relevant Sales team calls, collaborating with colleagues to maximize cross-functional alignment.
  • Escalate any issues of concern to the Manager of the Technical Project Management Team in a timely manner.
  • Perform other duties as directed, assigned, requested, or required.

Qualifications:

Job Knowledge / Requirements:

  • Exemplary listening, communication, and collaboration skills, with an established ability to work cross-functionally across Sales, clinical, and technical teams.
  • Excellent oral and written communication skills, including the ability to articulate technical and clinical requirements clearly to both internal stakeholders and prospective customers.
  • Strong problem-solving and decision-making skills, with a focus on customer satisfaction, scope accuracy, and implementation readiness.
  • Understanding of medical device hardware, including the ability to assess equipment compatibility, connectivity requirements, and infrastructure needs in a clinical environment.
  • Ability to manage multiple planning engagements simultaneously and deliver SOWs and site assessments within established timelines.
  • Ability to travel to prospective customer sites as needed.
  • Ability, skills, and self-discipline to work effectively in a remote environment when not traveling.
  • Familiarity with healthcare facility environments, clinical workflows, and the technical requirements of neurodiagnostic or related medical equipment is strongly preferred.

Education / Experience:

  • Bachelor’s degree in Engineering, Business, Healthcare Administration, a related technical field, or a Project Management Professional (PMP) certification will be considered.
  • Approximately 3+ years of experience in implementation planning or project management roles is required.
  • Experience with Statement of Work development and management in a healthcare technology or medical device context is strongly preferred.
  • Background in medical devices, healthcare technology, or complex equipment implementations is preferred.
  • Experience conducting site assessments or technical evaluations in clinical or hospital environments is preferred.
  • Previous experience with Cadwell hardware and software is a plus.

Salary Range
$110,000$130,000 USD
