Job Description
The Technical Documentation and Process Coordinator is responsible for coordinating and improving technical documentation, document access, process support, and equipment calibration activities that promote efficient and accurate operations. You will lead document review and completion activities, manages access-related processes and work aids, maintains supporting documentation and SharePoint content, and provides metrics and status reporting to stakeholders. The position also coordinates equipment calibration program activities, including database maintenance, vendor coordination, approval routing, records management, and process improvement. The ideal candidate can lead cross-functional follow-up activities while continuously improving documentation and processes.
This role is based in Mayfield Heights, OH and will have a hybrid work schedule.
Your Responsibilities
Document Coordination and Access Management
- Coordinate the review, tracking, and completion of technical software documents.
- Lead document review meetings and drive follow-up actions to support document completion.
- Maintain and update guidelines related to document processing and completion.
- Provide metrics and status reporting on document management activities.
- Support continuous improvement efforts to optimize document development and completion processes.
- Maintain and follow established processes for granting access to software documents.
- Create and update work aids that document the steps required to provide access.
- Review and evaluate access-related work aids on an annual basis to ensure accuracy and effectiveness.
- Support users and stakeholders with access process questions and issue resolution.
Equipment Calibration Program Coordination
- Manage the equipment calibration database, including annual setup, data entry, certificate processing, and records maintenance.
- Coordinate biannual calibration cycles with external vendor, including scheduling, quotes, and onsite logistics.
- Route vendor quotes, repair requests, and cost notifications for approval; track completion and manage follow-ups.
- Lead calibration team meetings and drive continuous improvement of tracking applications and processes.
- Provide metrics and status reporting on calibration program activities.
The Essentials – You Will Have
- High School Diploma or GED

The Preferred – You Might Also Have
- Typically requires a minimum of 4 years of relevant experience.
- Associates degree in Business, Project Management, Information Management, Communications, or a related field.
- Experience with document management in SAP.
- Experience in project coordination, document management, process management, or a related role.
- Ability to lead meetings, coordinate stakeholders, and drive action items to completion.
- Experience in Microsoft Office applications, especially Word, Excel, and SharePoint.
- Technical writing skills
- Experience working with SharePoint and document control processes.
- Experience developing process documentation, job aids, or standard work instructions.
- Analytical skills with experience creating metrics or status reporting.
- Continuous improvement mindset with the ability to identify and implement process enhancements.
- Experience coordinating with external service vendors.
- Proficiency with asset database management and spreadsheet reporting.
