BBPOS products are used by large retailers and leading online platforms across multiple industries.  BBPOS is engaged in the business of manufacturing and supplying mobile and smart point-of-sale hardware, and the underlying software and infrastructure to deploy, manage, and monitor those devices.  BBPOS is now part of Stripe’s Terminal business since the acquisition in March 2022.  

About the team

Post acquisition, the BBPOS team is now an extension of the Stripe Terminal team.  Stripe Terminal helps Stripe users extend their online presence into the physical world. The Terminal team’s mission is to make it as easy for businesses to accept in-person payments as the Stripe API has done for online payments. With Terminal, businesses can unlock in-person payments use cases that are right for their business model—whether it’s creating a flagship retail experience, extending their website to a pop-up store, or enabling a mobile point-of-sale at their next event.

Responsibilities:

You will be responsible for leading our cross-boarder admin team, managing complex admin projects, enhancing employee satisfaction, administrative functions, office environment, event management, and employee engagement activities, contributing to a positive workplace culture. Specifically, your role might include but not be limited to the below; 

   Project Management: 

  • Lead admin project team develop and implement projects plans, scheduling, and budgeting to meet project objectives and deadlines
  • Monitor project progress, identify and mitigate risks, and implement corrective actions as needed
  • Provide timely and accurate reports on project progress, financial performance, and key milestones to stakeholders, ensure projects comply with safety regulations, and quality standards
  • Drive and manage complex administration projects end-to-end, including but not limited to Travel platform, office admin platform, Office security platform, office relocation, office renovation, launch of admin platform, Admin workflow/process set-up from scratch, etc. 
  • Drive independently project tendering, budgeting, cost control, timeline management, compliance, and quality assurance
  • Develop detailed project plans and scope in alignment with business requirements Coordinate and manage multiple internal stakeholders and external parties, including vendors, and landlords across different regions
  • Manage and negotiate with vendors and service providers for project-related procurement, contract renewal, tendering, maintenance, and operational services
  • Serve as the primary liaison for multi-location, cross-functional project teams and external vendors, ensuring clear communication and seamless project execution
  • Drive and execute company-wide events, employee engagement activities, and other large-scale admin initiatives ensuring consistent delivery of admin projects across multiple locations 
  • Responsible for driving the ad. hoc project and resolve any issues that arise during the project lifecycle.

Admin Enhancement: 

  • Streamline, develop, and implement new administrative workflows, policies, and procedures to support project needs and ensure alignment across all locations
  • Develop and deliver training programs for administrative staff to enhance skills and promote adoption of new tools and processes
  • Collaborate with IT and other departments to ensure secure, effective integration of new admin technologies and systems
  • Lead change management initiatives related to new admin policies, systems, or workflow enhancements
  • Conduct regular benchmarking and comparison of office administration practices against industry best practices to recommend and implement enhancements
  • Handle post-project review to drive continuous improvement
  • Review office admin workflow and internal procedures from time to time to ensure efficiency and effectiveness

Team Management: 

  • Lead and oversees the group office administration team including Hong Kong, China andTaiwan
  • Establish and monitor key performance indicators (KPIs) for administrative operations, using data to drive process improvement and service quality
  • Support and guide Admin Operation Team for office maintenance, asset management, record-keeping, and resource allocation to ensure smooth office operations
  • Collaborate with admin teams in other locations and make sure admin policies are well in place and are consistently implemented
  • Perform any ad-hoc assignments as required

Requirements:

  • University degree in Business Management or equivalent field
  • Minimum 10+ years experience in office administration management level with significant exposure to large-scale or multi-location admin projects, preferably with listed or multinational companies
  • Demonstrated track record of successfully delivering complex administrative projects from inception to completion, building processes and solutions from scratch
  • Strong project management and people leadership skills and is able to manage effectively cross-border admin teams
  • Excellent negotiation, communication, and interpersonal skills; able to drive consensus and motivate teams in a dynamic environment
  • A team player with strong sense of responsibility, good negotiation and leadership skills; self-motivated with good communication and interpersonal skills; and able to work independently
  • High attention to detail, accuracy, and ability to anticipate project risks and needs.
  • Strong multitasking, prioritization, and problem-solving abilities, especially under tight deadlines and changing requirements
  • Excellent command of English and Chinese (both Mandarin and Cantonese) 
  • Excellent command of PC skills, e.g., MS Windows, MS Office and preferably project management tools
