Job Description:
Summary & Purpose of the Position
- Ensures support in strategic and operational activities undertaken by the direct manager
- Facilitates effective communication between the direct superior and other departments, customers, suppliers, and the HQ/Cluster management team by ensuring timely and accurate information flow, prioritizing issues, and proactively finding solutions
- Provides comprehensive support within the dedicated teams, including projects in marketing and medical areas.
- Must be thoroughly familiarized with the entire organization and procedures in force
Main Responsibilities & Technical Competencies
Administrative support
- Management of internal events (Cycle Meetings, Team Building Activities).
- Ensure adherence to Ethics & Compliance procedures: due diligence processes, event checklist management, closure, and archiving.
- Upload financial forecasts and payment requests into the K2 system based on divisional product plans.
Marketing and Sales support for dedicated teams
- Manage the organization of major events: satellite symposia, advisory boards, international trips, and congresses (registration, travel logistics, accommodations).
- Coordinate business travel and accommodation logistics for Specialty Care division.
- Maintain relationships and contractual agreements with suppliers (addenda, work orders, annexes, contracts).
- Support audits as required.
Support in Strategic Projects (Marketing and Medical)
- Provide project management assistance, including planning, coordination, and tracking for marketing and medical initiatives.
- Actively contribute to strategic projects by supporting team alignment, timeline management, documentation preparation, and communication across stakeholders.
- Support compliance-related projects and collaborate effectively with patient organizations, leveraging ethical standards and empathy
Oversees Responsibilities delegated to Junior Team Assistant
- Administrative processes for promotional material approvals.
- Logistic coordination and management of small-scale hospital seminars, excluding K2 processes and compliance oversight.
Other responsibilities
- Adhere strictly to company pharmacovigilance protocols (adverse reactions reporting, customer complaints).
- Manage allocated resources effectively, ethically, and efficiently.
- Ensure adherence to company deadlines and required management reports.
- Observe corporate communication standards through email, written reports, and verbal communication.
- Fulfil additional tasks assigned by direct superior.
- Inform direct superiors promptly about relevant changes in assigned areas.
Job-Specific Characteristics
- May be responsible for training and onboarding new employees.
May receive specific projects or tasks based on immediate company needs
Knowledge & Experience:
- Minimum 3- 5 years’ experience in a similar role, preferably in a multinational pharmaceutical company
- Demonstrated effectiveness as an individual contributor and efficient team collaborator
- Strong organizational skills, proactive initiative, responsibility, attention to detail, problem-solving abilities, and team spirit.
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook)
Education / Certifications (essential):
- Ideal: University degree
Language(s) (essential):
- Native Czech or Slovak speaker required and fluency in English – written and spoken
