We have an exciting opportunity for a Team assistant to join our Financial Services and Health divisions, based in our state-of-the-art Sydney headquarters in Eveleigh. Reporting to the Senior Executive assistant, you will provide proactive and high-quality administrative support to multiple Executives, playing a key role in keeping our senior leadership running smoothly. How will you make an impact?Diary and calendar management: On an ad hoc basis, assist with scheduling where multiple external stakeholders need to be coordinated — such as client workshops, larger client meetings, and engagements involving liaison with external EAs or stakeholders across different time zones.
Meeting coordination: Schedule meetings, prepare materials, book rooms, take notes and track actions to ensure meetings run seamlessly from start to finish
Inbox and communication support: Monitor designated inboxes, flag urgent matters, respond to routine enquiries and assist with cascading communications to relevant teams
Expenses and travel support: Process travel expense claims, coordinate travel bookings, prepare itineraries and manage accommodation and transportation logistics
Events and functions: Support the coordination of team meetings, social events, milestone celebrations and morning teas as part of our active social program
The superpowers you'll be bringing to the team:Experience: 3+ years in an PA/Team Assistant-adjacent or administrative coordination role, ideally within a corporate environment
Organised: Strong organisational skills with excellent attention to detail and ability to manage multiple priorities effectively
Communicator: Professional written and verbal communication skills, with confidence to engage a wide range of stakeholders
Proactive mindset: Ability to anticipate needs and take initiative, with a positive attitude and genuine willingness to learn
