As a Team Assistant, you will provide crucial support to our Property Management and Capital Deployment teams in the Benelux market. In this role, you’ll handle a variety of administrative and coordination tasks, helping the teams deliver best-in-class service to our customers.
Your Responsibilities
- Support the teams in creating proposals and pitch presentations for customers and authorities.
- Coordinate and generate leases, including producing appendices, printing, mailing, and tracking requirements.
- Assist in producing marketing materials and collecting market information.
- Partner with the Marketing and Communications Manager, Northern Europe, on external communications.
- Help organize and support client events.
- Manage travel bookings, expense claims, and meeting coordination.
- Maintain and update databases (customer data, property data, photo library).
- Improve efficiency by streamlining filing systems and internal procedures.
- Provide administrative support for Property Management operations, including service charges, rent invoicing, and the tenant ticketing system.
What You Bring
- 3+ years of experience in a similar role, preferably in an international environment.
- Previous experience as a team assistant or coordinator within real estate, property management, or capital projects.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); knowledge of Adobe InDesign and Salesforce is a plus.
- Positive, proactive, and customer-focused mindset.
- Excellent communication and networking skills, with the ability to build strong relationships across the organization.
- Strong organizational skills with the ability to prioritize, multitask, and meet deadlines in a fast-paced environment.
- Discretion, tact, and sound judgment when handling sensitive and confidential matters.
- Fluent written and spoken Dutch and English.
- Flexibility to adapt to daily changes.
- Willingness to work primarily from our Amsterdam office, with some days from home.
