We are seeking an organized, proactive, and service-oriented Team and Office Administrator to provide administrative support to assigned teams and assist with the smooth daily operation of the office.
The role covers team administration, office purchasing, facilities coordination, visitor support, invoice processing, and mail and courier handling. The successful candidate will also provide backup support for reception, travel coordination, and office maintenance.
Key Responsibilities
- Provide general team administrative support, including document formatting, filing, and photocopying.
- Coordinate meetings, guest visits, business cards, memberships, workshops, and courier services.
- Check invoices and upload supporting documents to SharePoint for approval.
- Manage office supplies, pantry items, stationery, and other office purchases.
- Support office events and activities
- Coordinate cleaning, facilities maintenance, and repair services. Supervise office cleaning lady and monitor service standards.
- Manage mobile phone plans and travel SIM arrangements for Partners.
- Handle incoming calls, messages, mail, faxes, and courier deliveries according to the duty roster.
- Update the desk-booking system and issue related communications.
- Maintain accurate travel, courier, purchasing, and administrative records.
- Provide backup support for reception and business travel arrangements.
- Perform other administrative duties and office projects as assigned.
Requirements
- Diploma or above in Business Administration, Secretarial Studies, or a related discipline.
- Relevant experience in office administration, team support, reception, or facilities coordination.
- Proficiency in Microsoft Office; experience with SharePoint is an advantage.
- Good command of written and spoken English and Chinese, including Cantonese.
- Strong organisational, communication, and multitasking skills.
- Detail-oriented, responsible, and able to work independently.
- Professional and service-minded, with a proactive approach to problem-solving.
Skills Required
