Wells Fargo is seeking a highly experienced (Withholding Tax Associate / Tax Analyst) to support complex tax withholding operations within the Enterprise Customer Tax Utility (ECTU). This role ensures accuracy and compliance across withholding validations, reconciliations, remittances, and tax reporting activities while providing subject-matter expertise and leadership within the team.
Key Responsibilities
- Validate customer tax withholdings, tax status, and withholding codes.
- Perform Level-2 review of daily withholding files to ensure accuracy and compliance.
- Assess and determine refund eligibility based on IRS rules, documentation, and treaty benefits.
- Manage depositing funds with the IRS, ensuring timely and error-free remittance.
- Maintain and review Advance Deposit Accounts and Demand Deposit Accounts (DDA).
- Perform monthly DDA reconciliations, identify variances, and resolve discrepancies.
- Validate withholding code application and corrections.
- Review statements, trace transactions, and resolve exceptions or questionable data.
- Prepare account reconciliations, perform customer account maintenance, and review tax data.
- Ensure adherence to all SOPs, internal controls, and compliance requirements.
- Escalate issues, delays, and exceptions to leadership or third-party partners as needed.
- Lead and mentor junior operations staff; act as SME for withholding operations.
- Serve as a point of contact for stakeholders, lead team discussions in manager's absence.
- Support complex ad-hoc projects; generate reports and contribute to process improvements.
- Update, track, and publish daily KPIs, production dashboards, and team performance reports.
- Generate and maintain operational metrics, trend analysis, and variance insights to support management review.
- Provide data-driven recommendations to improve processes and reduce exceptions.
- Ensure accuracy of KPIs/metrics by validating data sources and reconciling inconsistencies.
Education & Tax Knowledge
- Bachelor's degree / MBA in Finance or Accounting.
- Understanding of W-8 / W-9 forms, FATCA, CRS, IGAs, and Tax Treaties.
- Ability to interpret tax forms, withholding statements, and legal/treaty documents.
- Strong awareness of IRS penalties, compliance expectations, and risk controls.
- Strong Excel skills (Pivot Tables, VLOOKUP, IF statements, macros, formula tracing).
- Good working knowledge of Microsoft Access (queries & data extraction).
- Proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint).
- Experience with Power BI or Alteryx is an added advantage.
- Excellent analytical, math, and accounting skills.
- High attention to detail; ability to work accurately under pressure.
- Strong time-management skills and ability to meet stringent deadlines.
- Clear written and verbal communication skills.
- Ability to collaborate across organizational levels; flexible and adaptable.
- Proven ability to lead small teams or provide day-to-day workflow guidance.
Willingness to work late shift hours to support withholding remittance cycles.
