Job Responsibilities:
- Offer Letter Management: Draft, proofread, and distribute offer letters as per request by hiring managers in a timely and accurate manner, ensuring compliance with internal policies and relevant labor regulations
- Pre-Employment Testing Coordination: Schedule and track fit-for-duty exams, working closely with candidates and third-party vendors
- Invoice Processing: Process invoices for recruitment vendors and services; with accuracy and timeliness.
- Event and Career Fair Support: Assist in the booking and coordination of hiring events, job fairs, or campus recruiting activities including logistics and SWAG preparation, and ensuring clear communication with hiring teams to align on goals and candidate engagement strategies.
- Candidate Travel Management: Coordinate and manage candidate travel arrangements, including booking transportation, flights, and accommodations as needed.
- Expense Reimbursements: Handle candidate expense reimbursements and ensure all submissions are documented and processed in compliance with policy.
- Compliance & Record Keeping: Ensure proper documentation and retention of candidate records, offer letters, and testing results in alignment with company policy and compliance standards.
- Staffing Data & Reporting Support: Prepare various staffing reports including metrics related to employee turnover, tenure, and other workforce analytics.
- Exit Interview Coordination: Coordinate and conduct exit interviews for long-tenured employees, capturing insights on role history, organizational knowledge, and opportunities for improvement. Summarize and share findings with the Talent Acquisition Director to support workforce planning and knowledge retention.
- Survey Administration & Reporting: Administer recruitment-related surveys; collect, review, and analyze responses to identify trends and areas for improvement, and compile findings into actionable reports for the Talent Acquisition Director.
- Other Duties as Assigned: Perform additional tasks, responsibilities and special projects as required to support the Talent Acquisition team and contribute to the overall success of recruitment efforts.

- 2+ years in a recruitment, HR, or administrative support role; experience with applicant tracking systems and HRIS platforms preferred
- Experience generating reports, surveys and tracking data, with the ability to analyze results and present insights

- Strong attention to detail and organizational skills
- Excellent written and verbal communication
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel)
