The Specialist, NA Talent Acquisition (Ports & Destinations) supports the Talent Acquisition needs of the Ports & Destinations organization by providing recruitment, coordination, scheduling, and onboarding support. Working under the direction of the Supervisor, NA Talent Acquisition (Ports & Destinations), the TA Specialist helps execute day-to-day recruiting activities and ensures candidates and hiring leaders receive a timely, organized, and positive experience throughout the recruitment process.

The Specialist serves as a key connection between candidates, hiring leaders, Human Resources, and the Corporate Talent Acquisition team. Responsibilities include supporting candidate sourcing and screening, coordinating interviews and recruiting events, maintaining accurate candidate information, facilitating candidate communications, and supporting pre-employment and onboarding activities.

The Specialist utilizes approved sourcing tools, recruiting platforms, job boards, referrals, and other resources to support candidate pipelines and identify qualified talent. The Specialist assists with preliminary candidate assessments and ensures qualified candidates are effectively progressed through the recruitment process.

The Specialist also supports job fairs, college and university outreach, and other talent engagement initiatives while serving as a positive representative of the company’s employment brand. Additionally, the Specialist provides coordination and administrative support for the Summer Internship Program and other Early Talent initiatives, including school outreach, career fairs, internship recruitment, candidate communications, and onboarding.

The Specialist demonstrates strong customer service and relationship-building skills while managing multiple priorities and maintaining accuracy throughout the recruiting process. The role also supports Talent Acquisition projects, process improvements, and other departmental initiatives as assigned.

ESSENTIAL DUTIES & RESPONSIBILITIES: 

  • Recruiting Support – Assist with sourcing, reviewing, and screening candidates for assigned positions using the Applicant Tracking System, job boards, social media, referrals, and other approved recruiting sources. Conduct initial candidate outreach and screening as directed, communicate role information and expectations, and refer qualified candidates to the appropriate Recruiter or hiring leader.
  • Interview Coordination & Candidate Experience – Coordinate and schedule candidate interviews with Recruiters, hiring leaders, and interview teams. Manage calendars, communicate interview details and next steps, follow up on interview feedback, and serve as a responsive point of contact for candidates throughout the recruitment process.
  • Pre-Employment & Onboarding – Coordinate pre-employment and onboarding activities, including background checks, assessments, onboarding appointments, and other required steps. Monitor completion, follow up with candidates and internal partners, and help ensure new hires are prepared for a smooth transition into the organization.
  • Recruitment Administration & Systems – Maintain accurate and timely candidate, requisition, interview, and status information in Oracle and other applicable Talent Acquisition systems. Assist with job postings, candidate files, recruiting reports, tracking documents, and other administrative activities while following established policies, procedures, and compliance requirements.
  • Summer Internship & Early Talent Support – Support the Talent Supervisor in coordinating the Summer Internship Program and other Early Talent initiatives. Assist with internship recruiting, candidate communication, interview scheduling, onboarding, program administration, and outreach to local high schools, technical and vocational schools, colleges, and universities.
  • Recruiting Events & Community Outreach – Assist with job fairs, career fairs, campus events, networking opportunities, and other recruiting activities. Support event logistics, candidate registration, scheduling, communications, materials, and follow-up while representing the organization in a professional manner. Help maintain relationships with local educational and community partners.
  • Recruiter & Talent Supervisor Support – Provide day-to-day coordination and administrative support to the Talent Supervisor and Recruiters, including tracking open positions, monitoring candidate activity, preparing routine reports, organizing recruiting materials, scheduling meetings, and following up on outstanding actions. Communicate potential delays, candidate concerns, or process issues and escalate matters requiring additional guidance.

SKILLS SPECIFICS:

  • Strong communication (written and verbal), organizational skills, attention to detail, and time management skills are required. Ability to provide professional and responsive customer service to candidates, hiring leaders, and internal partners. Strong scheduling and coordination skills with the ability to manage multiple priorities and meet deadlines. Ability to learn recruiting systems, processes, and procedures quickly. Demonstrated follow-through, problem-solving skills, and ability to work effectively as part of a team. Ability to maintain confidentiality and handle sensitive candidate information appropriately. Professional presence and comfort interacting with candidates, schools, colleges, community partners, and business stakeholders.

EDUCATION & QUALIFICATIONS:

  • Bachelor’s Degree in Human Resources, Psychology, Business, Communications or other related field preferred.
  • 2 years of Talent Acquisition, recruiting, human resources, customer service, administrative, or coordination experience preferred. Internship or relevant academic experience may be considered.
  • Microsoft Office/Outlook are required for this role. Strong computer skills and the ability to learn and effectively use Applicant Tracking Systems and other recruiting tools. Experience with LinkedIn, Indeed, or other sourcing platforms is a plus.

LANGUAGE REQUIREMENTS:

  • Fluency in conversational English
  • Strong communication (written and verbal), organizational skills, attention to detail, and time management skills are required
