Talent Acquisition Coordinator 

About the Role: 
We are seeking a highly organized, detail-oriented Talent Acquisition Coordinator to partner with Talent Acquisition Partners and support the recruitment process. In this role, you will manage interview scheduling, candidate communications, and other administrative activities that keep hiring moving efficiently. You will work closely with Talent Acquisition Managers and hiring teams to deliver a seamless, positive candidate experience. 

In this role, you will… 

Support Scheduling & Interview Coordination 

  • Schedule and confirm interviews with candidates and hiring team members, ensuring calendar accuracy and clear expectations. 
  • Manage end-to-end interview logistics for virtual and on-site interviews, including rooms, links, and required materials. 

Manage Candidate Communications 

  • Own candidate communication from interview scheduling through final disposition, providing timely updates and next steps. 
  • Answer candidate inquiries on scheduling, documentation, and process expectations, escalating when needed. 

Assist with Job Postings 

  • Publish job postings to internal and external channels, ensuring approved, current job descriptions are used. 
  • Maintain accurate Applicant Tracking System (ATS) records and pipeline stages, ensuring consistent data entry and process compliance. 
  • Disposition candidates and requisitions in the ATS in a timely manner, ensuring accurate status updates and compliance. 

Support Recruitment Logistics 

  • Coordinate recruiting event and interview-day logistics (virtual/on-site), including rooms/links, materials, itineraries, and interviewer schedules. 
  • Support pre-employment and offer workflows by coordinating reference checks, documentation, and offer details for approvals and offer letter creation. 

Assist with Recruitment Metrics & Reporting 

  • Track and report key recruitment metrics (e.g., time-to-hire, interview-to-offer, candidate feedback) to inform decisions and improve the candidate experience. 
  • Prepare recurring leadership reports, highlighting trends, risks, and improvement opportunities.

  • You have proven ability to coordinate complex scheduling and communications in a fast-paced, high-volume environment.

  • Excellent organizational skills with the ability to manage multiple priorities and competing deadlines. 
  • Strong written and verbal communication skills with a consistently professional candidate experience. 
  • High attention to detail and discretion handling sensitive information. 
  • Proficiency with Microsoft Office and the ability to learn new tools quickly.
