Summary
In this role, you will coordinate and optimize the end-to-end recruiting process to deliver a seamless, high-quality candidate experience. You will partner closely with talent acquisition partners, hiring managers, and cross-functional stakeholders to manage interview logistics, maintain clear communication, and ensure efficient progression through hiring stages. You will also identify opportunities to improve processes, enhance scheduling workflows, and drive consistency across Talent Acquisition operations.
Responsibilities
- Coordinate and manage interview scheduling across candidates, recruiters, and hiring teams, including complex and multi-stage interviews
- Serve as a primary point of contact for candidates, ensuring a responsive, professional, and high-touch experience
- Manage candidate pipelines and track progress through all stages of the hiring process
- Maintain accurate and up-to-date data within the applicant tracking system
- Prepare candidates with interview logistics, expectations, and relevant context
- Coordinate interview logistics including calendars, travel (as needed), and day-of support
- Communicate status updates and respond to candidate inquiries in a timely manner
- Support and coordinate post-interview debriefs with hiring teams
- Assist with offer processes, including documentation, approvals, and handoffs to onboarding
- Identify scheduling challenges and process inefficiencies and implement improvements
- Partner with recruiters, hiring managers, HR, and other stakeholders to ensure smooth hiring operations
- Contribute to continuous improvement of recruiting coordination workflows and candidate experience
- Sourcing for qualified candidates for all open positions
Qualifications
- Relevant degree preferred
- 2 or more years of experience in recruiting coordination, scheduling, or talent acquisition operations
- Strong organizational skills with high attention to detail and accuracy
- Excellent written and verbal communication skills
- Ability to manage multiple priorities and schedules in a fast-paced environment
- Experience with applicant tracking systems and scheduling tools (e.g., Outlook)
- Strong problem-solving skills and ability to anticipate challenges
- Ability to handle sensitive and confidential information with discretion
- Strong client and candidate service orientation
- Experience working with cross-functional teams and stakeholders
- Hybrid in office 3 days a week
Estimated Hiring Range:
At Vizient, we consider skills, experience, and organizational needs in our compensation approach. Geographic factors may adjust the range estimate and hires typically fall below the top range. Compensation decisions are tailored to individual circumstances. The current salary range for this role is $59,600.00 to $101,200.00.This position is also incentive eligible.
