Key Responsibilities:
Team Leadership & Development:
- Lead, mentor, coach, and develop a team of Talent Coordinators, fostering a high-performance culture and ensuring continuous professional growth.
- Manage team workload, performance reviews, and daily operations to meet service level agreements and deadlines.
- Drive team engagement and collaboration, ensuring best practices are shared and implemented.
Process Excellence & Compliance:
- Internal Audit & SOP Adherence: Oversee and ensure strict adherence to all internal HR policies, standard operating procedures (SOPs), and compliance requirements across all talent coordination activities.
- Proactively identify areas for process improvement and implement solutions to enhance efficiency, accuracy, and scalability.
- Contribute to the development and refinement of talent coordination SOPs.
Candidate & New Hire Experience:
- Offer Generation & Management: Supervise the accurate and timely generation, distribution, and tracking of employment offer letters and related documentation.
- New Joiner Induction & Onboarding: Design, implement, and continuously optimize the new hire induction and comprehensive onboarding experience, ensuring a seamless, welcoming, and informative start for all new employees in a large organizational context.
- Ensure all pre-onboarding activities are completed efficiently.
Operations & Vendor Management:
- Background Verification: Manage and streamline the end-to-end background verification process, ensuring compliance with legal and company standards.
- Vendor Management: Effectively manage relationships with external vendors (e.g., background check providers, onboarding platform vendors) critical to the talent acquisition and onboarding process, ensuring service quality and cost-effectiveness for a large organization.
- Manage and track all associated documentation and data meticulously.
Stakeholder Collaboration:
- Act as a primary point of contact and subject matter expert for talent coordination processes, collaborating closely with Recruiters, HR Business Partners, Hiring Managers, IT, and other internal departments.
- Provide expert guidance on complex coordination queries and issues.
Reporting & Analytics:
- Track, analyze, and report on key talent coordination metrics (e.g., time-to-onboard, offer acceptance rates, background check completion times) to identify trends and inform decision-making.
Qualifications:
- Bachelor's degree in Human Resources, Business Administration, or a related field.
- Minimum of 8+ years of progressive experience in Talent Acquisition Coordination, HR Operations, or a similar field.
- At least 5+ years of demonstrated experience in a leadership role, managing and mentoring a team of Talent Coordinators or HR professionals.
Proven expertise and hands-on experience in:
- Leading internal audit processes related to HR/TA operations.
- Developing, implementing, and ensuring adherence to SOPs.
- Designing and executing comprehensive new joiner induction programs.
- Managing the end-to-end offer generation process.
- Crafting and delivering exceptional new hire onboarding experiences.
- Overseeing background verification processes.
- Effective vendor management, specifically within large, multi-national organizations.
- Exceptional organizational skills with a strong ability to manage multiple priorities in a fast-paced environment.
- Superior communication (written and verbal) and interpersonal skills, with the ability to interact professionally with candidates, employees, and senior leadership.
- Advanced proficiency with Applicant Tracking Systems (ATS) and HR Information Systems (HRIS).
- Strong analytical and problem-solving skills, with a data-driven approach to process improvement.
- High level of integrity and ability to handle confidential information with discretion.
